We support manufacturers across North America and work to advance building science, safety, and product performance. We are seeking an organized, detail-focused Administrative Assistant II to support our Technical Services Division. This role is ideal for someone who thrives in a structured environment, enjoys working with data and documentation, and takes pride in delivering accurate, high-quality administrative support. Position Summary The Administrative Assistant II performs a wide range of administrative, secretarial, statistical, and reception duties to support APA's Technical Services Division. This position works onsite and plays a key role in coordinating documents, data, reports, and communications across the division. Key Responsibilities • Perform general secretarial and receptionist duties including answering phones, typing correspondence, scanning, printing and document distribution. • Prepare and process more than 100 annual product report renewals, including generating invoices, preparing cover letters, posting documents to the website, and electronic archiving. • Proofread, compile, and finalize technical reports-sometimes 100+ pages. • Issue invoices for product testing and other Technical Services Division activities. • Type and finalize memos, reports and correspondence for managers and technical staff. • Maintain extensive electronic filing systems. • Update and maintain manuals, program lists, spreadsheets, and computer databases. • Enter routine test results (plywood, OSB, glulam, qualification and requalification data, Performance Verification, quarterly and product verifications, formaldehyde testing results) and report results to APA members. • Support additional administrative duties as assigned, including assistance for the Quality Services Division. • Follow accident-prevention and safety procedures and maintain a clean, safe workspace. Requirements Minimum Qualifications • High school diploma or equivalent; some college coursework preferred. • 3-5 years of related administrative experience or training. • Proficiency in Microsoft 365 applications including SharePoint, OneDrive, Word, Excel and Outlook. • Ability to read and interpret simple instructions and write routine correspondence. • Ability to present information clearly to internal and external clients. • Strong attention to detail and proofreading skills. • Ability to prioritize work and manage multiple deadlines. • Basic math skills: add, subtract, multiply, and divide using whole numbers, fractions, and decimals.
