Position Title: Workflow Manager Company Overview: ANSER enhances national and homeland security by strengthening public institutions. Position Summary ANSER is seeking a Workflow Manager to provide correspondence, coordination, and records management within the Office of the Under Secretary of Defense for Research and Engineering (OUSD(R&E)). In this role you will ensure the accuracy, quality, and timeliness of official correspondence and task management in a dynamic, high-visibility environment, requiring critical thinking, initiative, and sound professional judgment. Day-to-Day Responsibilities • Provide executive-level workflow management and correspondence coordination, ensuring all taskers, reports, and official communications meet established standards for accuracy, clarity, and responsiveness. • Review, edit, and prepare correspondence, reports, and documents for senior leadership approval, ensuring compliance with formatting, policy, and procedural requirements. • Monitor and manage tasks within the Correspondence and Task Management System (CATMS) to ensure timely completion, proper routing, and accurate status reporting. • Track and prioritize organizational actions, follow up with responsible offices, and drive tasks to completion within required deadlines. • Communicate senior leadership decisions through well-structured correspondence and ensure effective dissemination across relevant offices. • Interact with senior offices across the Department of Defense, Military Departments, Joint Staff, Defense Agencies, Congress, and external organizations to coordinate and resolve workflow issues. • Manage the intake, control, and distribution of classified and unclassified correspondence, maintaining accountability and ensuring expedited handling of high-priority items. • Develop, implement, and maintain records management policies and procedures that comply with federal laws and National Archives and Records Administration (NARA) requirements, supporting the transition to electronic records management. • Provide support and training to staff on correspondence standards, workflow processes, and task management tools to ensure consistent application of office procedures. • Evaluate existing workflow processes, recommend improvements, and maintain awareness of records management and correspondence policy changes to enhance operational efficiency. Required Qualifications • TS/SCI Clearance. • Bachelors degree. Will consider an additional four (4) years of specialized experience (including military or industry executive assistant experience) in lieu of degree. • Minimum of 3 years recent and relevant experience in a similar role or in an executive-level administrative or correspondence management role. • Prior experience in correspondence management and coordination management support. • Prior experience with support as executive level administrative assistant support in the government, military or private sector. • Advanced proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel) and familiarity with CATMS or similar correspondence tracking systems. Preferred Qualifications • Knowledge of NARA records management standards. • Excellent analytical, organizational, and communication skills with attention to detail and accuracy.
