This role plays a critical role in delivering a concierge level experience. Required • 3+ years as a receptionist or in a front – office administrative role, preferably in a professional services environment. • High school diploma • Proficiency in Microsoft Office Suite. Key Responsibilities • Welcoming clients, visitors, vendors, and other professionals; • Coordinate visitor registration • Validate parking; • Manage access cards; • Handle multi line phone system; • Scheduling conference rooms; • Assist in supporting local office events and assist in clerical tasks; • Prepare and submit office invoices for Director approval; • Providing backup support to other office staff; • Draft internal communications; • Maintain internal contacts lists; • Assist Office Services manager and Director of Administration. Essential Skills • Exceptional and Interpersonal skills; • Professional demeanor; • Ability to work overtime; • Comfortable working with minimal supervision. Education & Experience • Bachelor’s degree or Paralegal Certificate required. • 3–5+ years of experience in commercial real estate transactions, including acquisitions, dispositions, financing, leasing, construction, and development (law firm experience preferred; in-house experience considered). • Notary Public license required.
