Job Description: As a Project Manager supporting the PD Design team at Amplify, you will lead the systemization of complex, cross-functional projects focused on professional development asset creation and management. The PD Design team creates and manages thousands of assets (including presentations, participant notebooks, online courses, and facilitator guides) that enable our delivery team to provide impactful professional development to the educators we serve. In this role, you'll work closely with designers and cross-functional partners to establish, manage, and maintain robust project management systems across the design lifecycle. The Project Manager will assist in establishing the organizational foundation that enables the PD Design team to focus on designing meaningful learning experiences for educators. This role involves implementing end-to-end project management processes, contributing to portfolio-level initiatives, and systematizing design communications and handoffs. A critical component of this work includes managing the human side of process transformation. You’ll facilitate stakeholder buy-in, address resistance to change, and create sustainable training frameworks that support ongoing system optimization and team development. You'll be instrumental in standing up scalable systems for tracking, organizing, and managing the full lifecycle of asset creation, ensuring that high-quality design work flows seamlessly from concept to delivery while maintaining alignment with strategic business objectives and educator needs. The ideal candidate for this role is a highly organized and systematic project manager who has experience in change management and identifies as a systems builder. This person will be able to see both the forest and the trees and transform big-picture visions into usable tools and processes, all while staying calm, focused, and solutions oriented. They know how to understand and leverage technology as well as they know how to communicate with others, using data dashboards and project management platforms like a conductor directing an orchestra. Essential Responsibilities: System Implementation, Optimization, & Continuous Improvement (~50%) Analyze and document current processes, identify strengths and areas of improvement, and proactively communicate risks and process enhancements to leadership. Implement and maintain a unified operating process within portfolio management systems across the entire PD Design team, ensuring consistent use and application. Design and deliver comprehensive training programs for system adoption, including creating user documentation, conducting hands-on workshops, and establishing ongoing support structures to ensure all team members can effectively navigate new workflows and platform features. Deploy and optimize the portfolio management platform to track thousands of design assets, establishing standardized templates, workflows, and tracking mechanisms that align with project complexity and stakeholder requirements. Monitor and maintain platform performance by tracking system utilization and effectiveness through performance data analysis, troubleshooting technical issues, providing rapid support when urgent needs arise, and proposing data-driven platform enhancements to improve process efficiency and quality. Ongoing Project Planning & Monitoring (~20%) Develop and maintain detailed project plans, timelines, and workflows to enable strong tracking from start to finish. Ensure alignment of tools to the size and complexity of the project, as well as stakeholder needs and expectations. Collaborate with team leaders to define realistic milestones and ensure alignment with the overall project. Ask questions to drive toward clarity and solutions. Navigate ambiguity with ease, demonstrating adaptability and resilience in uncertain situations. Clarify objectives, establish clear goals, and develop actionable plans to move initiatives forward despite uncertainty. Serve as a key contributor in developing and maintaining reporting metrics and dashboards that analyze system effectiveness, project performance, and team productivity, identifying opportunities for continued improvement and optimization. Support budget management and resource allocation by tracking project costs, monitoring resource utilization across the portfolio, and providing data-driven insights to inform strategic decisions about capacity planning and investment priorities. Leadership & Communications (~20%) Integrate fully into project work to understand priorities, the smoothest path to success, and ensure timeline and quality expectations are met. Develop communication plans that identify key stakeholders and establish clear messaging. Provide visibility into progress across stakeholder groups, including executives and project team members. Coordinate meetings: identify attendees, schedule, develop agenda, facilitate, document. Ensure meetings end with clear next steps tied to goals. Lead and/or support change management efforts to drive adoption of new processes and initiatives. Communicate effectively with stakeholders to build buy-in, address concerns, and overcome resistance to change. Provide guidance and support to teams throughout the implementation process. Help foster a culture of innovation, creativity, and continuous improvement within the PD Design team, encouraging colleagues to contribute ideas, experiment with new approaches, and challenge the operational status quo. Build strong partnerships and collaborate with peers in PD Operations, PD Delivery, Product, and Training & Development to drive alignment and successfully execute projects. Flexible Engagement & Team Commitments (~10%) Jump in quickly and offer support when urgent needs arise (ex: troubleshooting support needed) or business realities change. Integrate and align your work with team and company priorities, actively contributing to the achievement of these goals. Participate in and/or lead team commitments, including working groups, team meetings, projects, and other initiatives contributing to the overall success of the PD Design team and CX team at large. Flexibly support various initiatives as needed, adapting to the changing needs of the organization and contributing to emerging projects or priorities. Minimum Qualifications: Bachelor’s Degree or equivalent experience. 5+ years managing multiple projects simultaneously, effectively meeting all deadlines.. Proven track record in designing and implementing end to end processes from a stated goal or outcome, including change management and training programs to drive system adoption and process improvements. Tech savvy - Demonstrated experience implementing and optimizing project management systems and platforms (e.g., Monday.com, Notion, Smartsheet, or similar portfolio management tools), with exceptional proficiency in Google, Apple, and/or Microsoft office suites, familiarity with Salesforce and similar platforms, and proven ability to quickly learn and master new technologies and software as business needs evolve Experience synthesizing large amounts of disparate information into concise, actionable, and impactful reports or other communications medium to a wide variety of audiences. Experience with a high volume of assets, tasks, or details, especially in the instructional design industry. Excellent written and verbal communication skills with ability to facilitate meetings, present to executives, and build stakeholder buy-in across cross-functional teams. Experience working across multiple teams, often with multiple managers, in highly complex, fast-paced, and evolving situations. Preferred Qualifications Experience in EdTech or Instructional Design industries Certification in project management (ie PMP) and/or change management (ie ACMP). Knowledge of adult learning principles and instructional design methodologies, and a background in K-12 education or professional development for educators. Experience with projects that impact a large number of stakeholders (e.g. assets that impact a high volume of customers and internal stakeholders). Experience managing budgets. Experience with data visualization tools such as Tableau or Looker Studio.
