Job Description The Executive Assistant will report to the Vice President within the Health Services Associate Department, providing specialized and complex administrative support. This role requires critical assistance through research, analysis, writing, information coordination, correspondence distribution, meeting documentation, and relationship management. The ideal candidate will demonstrate professionalism, strong organizational skills, self-motivation, excellent interpersonal abilities, and effective communication. Key Responsibilities • Lead Health Services projects and initiatives in support of the assigned vertical. • Serve as the primary point of contact and subject matter expert for the assigned vertical, bridging people and processes. • Develop, review, edit, and draft presentations and documentation in collaboration with the Vice President and leadership team. Independently research and analyze issues, compile materials for presentations and decision-making, and compose correspondence as needed. • Manage Vice President activities, including complex calendar coordination, travel arrangements, expense reporting, and logistics. • Support onboarding and provide guidance and training for direct reports of the Vice President as applicable. • Create professional, high-quality documents using Microsoft Office Suite. • Develop a deep understanding of the Vice President’s priorities and organizational role to appropriately manage access and commitments. • Independently prioritize, plan, and coordinate logistics for meetings and conferences with internal and external stakeholders. • Anticipate Vice President needs and proactively resolve issues or handle matters independently. • Act as the primary liaison to internal and external constituencies on behalf of the Vice President, including screening correspondence and calls, and keeping executive leadership informed of critical matters. • Maintain strict confidentiality and interact professionally with all organizational levels. • Prepare meeting reports, minutes, correspondence, presentations, organizational charts, and other required documentation. • Coordinate support for organization-wide and department-wide initiatives with the Health Services Associate Services Manager. • Ensure availability to assigned executives outside standard business hours, including on-call support when necessary. Qualifications • Proven experience as an Executive Assistant or similar role supporting senior leadership. • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). • Excellent organizational, time management, and problem-solving skills. • Ability to manage multiple priorities and work independently in a fast-paced environment. • Exceptional written and verbal communication skills. • High level of discretion and confidentiality.
