We have an opportunity at our corporate offices in Chicago for a Sr Operations Coordinator I on our Health Solution team. This is a hybrid position reporting into our Chicago, IL office, requiring 2 days a week in the office. This position under the guidance andsupervision of the Manager Operations, contribute to the growth of AMA revenue andprofitability by supportingdefined business tools and ensuring tools are applied and integrated within theidentified process area. Support the Sales Vice President, coordinating day today administrative duties for the Sales VP Office. RESPONSIBILITIES: Technology & Business Process Implementation Support • Convenes stakeholders to understand the identified business improvement tools/technology and ensures successful implementation and adoption. • Work with Sales & Marketing Directors to prioritize training and help to schedule/coordinate training for the team. • Assist with building checklists and implementing processes and documentation for all employee activity within Health Solutions Sales & Marketing. • Responsible for all e-book report & payment processes. • Proactively identify needs and solutions in Business Process, documenting through flowcharts and reports. • Communicates to senior staff with respect to due dates, assignments, new processes, and updated standards. • Review & approve instructor copy book requests VP Support • Manage distribution lists, SharePoint, mailboxes, and material production for other programs as needed. • Communicate all requests from staff and senior management to VP, ensuring prompt response, prioritizing appropriately, and maintaining confidentiality. • Submit and ensure payment of VP's business expense reports in a timely manner; monitor credit card account. Research and track questions/discrepancies regarding travel budgets, policies, and processes. Handle all travel details. • Prioritize and maintain VP's calendar of activities and related details; ensure VP and attendees have necessary materials and follow-up to inform VP and others of all meeting details. • Assist with the development of VP presentations and memos: perform basic research and summarize findings, enhance format, proof materials, and communicate on behalf of VP as directed. • Provide support for SVP and training of assistant to SVP as needed. Administrative Support • Support Ops Manager with BU wide activities and meetings such as Employee Engagement and All-Team • Provide Building Tours and follow up with onboarding materials to all new FTEs. • Prepare weekly reports as required. May include other responsibilities as assigned REQUIREMENTS: • High School diploma or equivalent education required, associate's degree preferred. • 3+ years work experience in operations or project coordination. • Ability to document and adhere to business processes and technical requirements. • Solid written and oral communication and interpersonal and social skills to interact with staff and management required. • Ability to work in a fast-paced multi-task environment while meeting strict guidelines required. Must be self-motivated and able to take initiative. Ability to independently completes requests as specified and on timeline; escalates issues to manager where appropriate. • Outstanding computer skills in Microsoft Office products specifically flow chart software as well as Excel graphs and charts. • Previous experience building dashboards; experience in Power BI preferred. • Excellent analytical skill along with a high level of attention to detail required. • Professionalism and discretion in the handling of confidential and sensitive information required. The American Medical Association is located at 330 N. Wabash Avenue, Chicago, IL 60611 and is convenient to all public transportation in Chicago. This role is a non-exempt position and the hourly range for this position is $26.56- $34.47. This is the lowest to highest rate we believe we would pay for this role at the time of this posting. An employee's pay within the salary range will be determined by a variety of factors including but not limited to business consideration, geographical location, as well as candidate qualifications, such as skills, education, and experience.
