Overview The Front Desk Receptionist at All Care Family Medicine plays a vital role in creating a welcoming and efficient patient experience. As the first point of contact for patients, the receptionist is responsible for managing front-office operations with professionalism, compassion, and accuracy. This position supports the smooth functioning of the clinic by coordinating patient flow, handling administrative tasks, and ensuring exceptional customer service in alignment with our commitment to high-quality primary care. Key responsibilities include greeting and checking in patients, verifying insurance eligibility, collecting copayments, scheduling appointments, managing high-volume phone lines, and maintaining organized patient records within the EHR. The receptionist also assists with prior authorization packets, referral requests, patient forms, and communication with clinical staff to support timely and coordinated care. This role requires strong communication skills, attention to detail, and the ability to multitask in a fast-paced clinical environment. As an essential member of the care team, the Front Desk Receptionist contributes to an excellent patient experience, smooth daily operations, and the overall success of All Care Family Medicine’s mission to deliver accessible, compassionate, and patient-centered primary care. Responsibilities • Greet and check in patients, update demographics, and ensure forms are completed. • Manage high-volume phone lines and schedule/reschedule appointments. • Verify insurance, collect copays, and post payments accurately. • Scan/upload documents, prepare referrals and authorizations, and maintain HIPAA compliance. • Coordinate with medical assistants and providers to support smooth patient flow. • Handle daily administrative tasks such as faxing, managing mail, organizing the reception area, and monitoring supplies. • Assist with appointment reminders, patient outreach, and front-desk opening/closing procedures. Skills • Excellent Communication: Clear, professional verbal and written communication with patients and staff. • Customer Service: Warm, patient-centered approach with the ability to stay calm and supportive. • Multitasking & Time Management: Ability to manage phones, patients, and administrative tasks simultaneously. • Attention to Detail: Accurate data entry, insurance verification, and documentation. • Computer & EHR Proficiency: Comfort using electronic health records, scheduling systems, and basic office software. • Problem-Solving: Ability to address patient issues, resolve scheduling conflicts, and escalate concerns appropriately. • Team Collaboration: Works well with providers, medical assistants, and other administrative staff. • Professionalism & Confidentiality: Maintains HIPAA compliance and represents the clinic with maturity and integrity. • Adaptability: Ability to work in a fast-paced primary care/urgent care environment with changing priorities. • Organizational Skills: Keeps front desk area, records, and workflows orderly and efficient.
