Office Operations Manager Allan Chemical, Ringwood, NJ In-Office | Full-Time Range $55 - $65K plus bonuses 3+ Years of Experience Required About the Role Allan Chem is seeking an experienced Office Operations Manager to keep our office running smoothly and efficiently. This is a hands-on, in-office role for someone who thrives on organization, precision, and teamwork. You’ll manage the administrative, accounting, and operational functions that support our Sales and Management teams, ensuring every detail — from documentation to deliveries — is handled accurately and professionally. We’re looking for a dependable, proactive team player who loves keeping processes streamlined and the office humming. What You’ll Do Core Business Operations • Process orders and invoices, and customer and internal business documents • Ensure smooth coordination between Sales, Operations, and Customer Service • Support Regulatory with sample material requests — order, receive, document, package, ship, and track • Assist Logistics with outbound shipments and pickups with various trucking companies Administrative & Office Support • Answer phones, screen calls, and greet visitors in a professional manner • Handle general office upkeep, supplies, and service vendor coordination • Provide administrative support to team members and assist with daily coordination tasks • Review and customize PDFs pertaining to Bills of Lading and COAs • Manage incoming/outgoing mail, scanning, and filing systems • Communicate clearly and professionally via phone, email, and mail (remove) Accounting & Financial Support • Enter vendor bills, customer sales orders, and process invoices accurately and promptly • Post customer payments, enter bank deposits, and track Accounts Receivable • Follow up on past-due invoices to ensure timely payments • Assist Accounts Payable with paying bills on time with pre-authorized checks, eventually managing AP • Maintain accuracy and confidentiality in all financial documentation What We’re Looking For • 3+ years of experience in office administration, operations, or a similar role • Exceptional organizational and problem-solving skills • Clear, professional written and verbal communication • Chemical industry experience a strong plus, but not required • A proactive, positive attitude with the ability to work independently and collaboratively • Proficient in QuickBooks (or similar accounting software) and Microsoft Office Suite • Solid communication and interpersonal skills with a professional, personable approach • Ability to multi-task effectively and accurately in a fast-paced environment • Enthusiastic and quick learner who takes initiative and adapts easily to new processes • Team-oriented work ethic with a positive attitude and willingness to pitch in wherever needed Why You’ll Love Working Here At Allan Chem, we take pride in what we do — and in how we do it.
