Operations Specialist Location: WA - Bellevue Headquartered in Herxheim, Germany, heo is the owner of the popular Ultimate Guard™ and Squaroes™ brands. Operating out of our offices in Bellevue, WA, heo America is responsible for the Canadian, US, and Latin American markets. heo America is currently looking for a full-time Operations Specialist to join our team! This role is a chance to join a growing organization and to make an immediate impact in the gaming industry, working with many of the most impactful brands in tabletop and pop culture entertainment. Reporting to the Operations Manager, the Operations Specialist will contribute to the operational effectiveness of the heo America business unit by supporting order processing, leading administrative tasks and new item setup, assisting with purchasing, handling accounts receivable statements, and responding to customer account questions. The ideal candidate is highly organized, detail-oriented, and demonstrates a strong sense of urgency in their ability to meet tight deadlines. This position will be primarily remote with occasional on-site work required in the Bellevue office. What to expect: Monitoring and updating the company price list, setting up new items in Business Central, assisting with purchasing, owning the inbound receipts expected at the warehouse, communicating expected turnover times, and managing customer account statement inquiries. Performing inventory audits and providing overflow order-processing support during peak periods or team absences. Data entry, order scheduling, shipment monitoring, issue resolution, and the day-to-day administrative work associated with managing the movement of goods for an international consumer products organization. Maintain relationships with heo America’s wholesale and distribution partners, third-party warehouse, customs and transportation partners, outside accounting consultants, and heo Germany/APAC teams across logistics, finance, and accounting. Comfort with ambiguity, strong problem-solving skills, and a process-oriented mindset with an ability to document and improve workflows. Experience with Microsoft Business Central is a plus, but not required for the right candidate. Regular management of and exposure to sensitive product and financial information; maintaining confidentiality, exercising discretion, and operating with professional rigor are essential. Required Education / Experience: Minimum of 3+ years in office administration, order processing, or logistics, or a college degree in Business or Logistics. Excellent written and verbal communication skills. Strong organization, attention to detail, and the ability to prioritize time-sensitive shipments. Proficiency in Microsoft Excel. ERP experience—Microsoft Business Central strongly preferred. Ability to react quickly and make sound decisions in high-pressure situations. Ability to collaborate across diverse teams and business functions. Self-motivated with the ability to independently lead initiatives. Understanding of warehouse operations a plus. Preferred Experience: Experience in consumer products, gaming, or entertainment. Familiarity with Ultimate Guard, toys/games, or Hobby retail channels. Experience working in a fast-paced, high-growth environment. Microsoft Dynamics experience is a plus. Practical experience using AI tools (e.g., ChatGPT, Copilot, Claude, or agentic AI platforms) to streamline operations, improve documentation, or accelerate problem-solving. Ability to identify inefficiencies and propose AI-supported process improvements, such as automated reporting, clean data extraction, SOP generation, KPI tracking, and template creation. Familiarity with Microsoft Power Automate, Power Apps, or similar low-code platforms to build or maintain workflow automations. Ability to translate business needs into clear prompts or automation requirements that improve accuracy and speed across operations.
