Elementary Secretary/Bookkeeper QUALIFICATIONS • High school diploma with secretarial training required • Two (2) years of job-related experience preferred • Must meet the suitability criteria for employment and/or certification/licensure under the Alabama Child Protection Act of 1999 and Act No. 2002-457 FLSA STATUS Non-exempt SUPERVISOR Principal REQUIRED KNOWLEDGE, SKILLS AND ABILITIES: • Knowledge of the procedures, practices and operation of an elementary school • Ability to use excellent business English, grammar, spelling and punctuation • Ability to develop proficient use of STI and McAleer Systems • Proficiency in technology programs such as Word, Excel, Access, publisher and other Microsoft Programs • Ability to communicate clearly and concisely, both orally and in writing, including clear, polite telephone communications skills • Ability to communicate effectively via e-mail and other electronic communications • Ability to work effectively under minimal supervision • Ability to exercise tact, good judgment and initiative in dealing with students, faculty and the public • Ability to maintain the confidentiality of student, payroll and personnel records • Demonstrated typing skills at a minimum of 50 words per minute • Ability to develop knowledge and skill with the dispensing and recording of students' medications • Dispenses and records medication in accordance with Board polices, procedures and practices • Be capable of moving and lifting moderately heavy weights • Physical and emotional ability and dexterity to perform require work and move about as needed in a fast-paced, high-intensive work environment ESSENTIAL FUNCTIONS • Provides secretarial services for the principal and other administration • Maintains existing student records, initiates new records for incoming students, and forwards required records for transfer students • Provides routine management of the principal's office • Publishes the daily bulletin for teachers and students • Inputs and monitors all functions related to the time-clock and ensures its effective and accurate operation • Supervises office assistants • Makes necessary computerized administrative reports related to attendance, discipline, personnel and grade reporting • Verifies and submits to the administration the monthly service report for approval • Maintains and effectively operates all functions related to STI such as, student attendance, scheduling, discipline reports and report cards. • Ensures accurate and appropriate correspondences with parents, administration and staff • Contacts parents when necessary as directed by administration • Provides assistance and guidance to the elementary receptionist (where applicable) • Performs the duties of the elementary receptionist when necessary • Takes leave time in accordance with Board policy and reports all absences to SubFinder as required • Attends work and arrives/departs work as determined by school administration • Assumes other reasonable and equitable job related duties as assigned by the immediate supervisor TERMS OF EMPLOYMENT The terms of employment shall be in accordance with the provisions of the Board's Policy Manual, Students First Act and the Board's Salary Schedule - School Administrative Support.
