Job Details: The Project Coordinator works in tandem with the Project Management members to support the completion of existing and new projects by aiding in managing the day-to-day operational and administrative tasks. This position will collaborate on various aspects of the Project Management process including, but not limited to, scheduling meetings, providing person-in-plant support, performing administrative functions to support the Project Management Department creating and managing project documentation/timelines, coordinating shipments and communicating with project stakeholders including clients. This role is ideally suited for someone with pharmaceutical industry experience looking to transition into Project Management position. This position will also support on-site client visits, as required. Responsibilities: • Build customer relationships by coordinating new or existing client on-site visits, monitoring customers during production, and managing expectations. • Accountable to assist and collaborate with project managers on the following tasks and activities: • Booking PIP rooms and conference rooms for meetings with clients as needed • Preparing agenda for BRM or new client onsite visits • Coordinating lunch ordering and timely delivery for all onsite client visits • Organizing existing customer information. • Planning and implementation of projects and project plans • Coordination of sample/product shipments and providing tracking information to clients • Purchasing and billing activities. • Administrative tasks such as filing, scanning, collecting and distributing client forms, etc. • Documenting project phases and creating summary reports • Updating operational schedule with critical for filling operations information • Work with internal teams and facilitate solutions with customer inquiries as applicable. • Maintain detailed project documentation as required by internal and external reporting needs. • Establish strong inter-departmental relationships. • Communicate effectively with clients and across all functional groups so that schedules and scope of the project is clear. • Ensure that projects are completed on time, within budget and scope, and conforms to pre-established quality standards. • Responsible for evaluating unexpected deviations that may impact project deliverables or timelines and taking steps to resolve these issues. • Regular and reliable attendance on a full-time basis [or in accordance with posted schedule]. • Develop proficiency with Microsoft Project, Smartsheet, and other Project Management software as required. • Provide support to the Project Management department where needed. • Expected to support project activities outside of core hours as necessary. • Comply with all PCI policies and procedures. • May serve as a mentor to Customer Service Specialist, as appropriate. • Perform other duties as assigned. Requirements: • Bachelor's degree or equivalent experience required. Life sciences or business discipline is preferred. • 2 – 3 years of work experience in a client-facing, customer service, and/or project coordination role. • One (1) years of experience in Biotech/Pharmaceuticals or CMO is preferred • Comfortable with Project Management software such as Microsoft Word, Excel, Access, Project, and Smartsheet. • Solid planning, organizational and interpersonal skills. • Strong critical thinking and problem-solving skills. • Excellent written and verbal communication skills. • Strong attention to detail. • Strong interpersonal skills. • Ability to resolve conflicting situations by maintaining high ethics and values. • Ability to work independently with minimal supervision. • Experienced at multi-tasking and working in a dynamic, fast paced work environment. • Honesty, integrity, respect and courtesy with all colleagues and clients. • Flexible and adaptable. The base hourly range for this position is $24.08 to $27.09 plus annual performance bonus eligibility. Final offer amounts are determined by multiple factors including and not limited to specific and relevant experience, credentials, geography and subject matter expertise.
