Proficiency in QuickBooks Online, preferably Deltek Ajera, advanced Excel skills, bilingual English/Spanish communication, ability to work remotely aligned with California time zone, and 3+ years bookkeeping or accounting experience preferred.
AIX Group is a growing multi-branch consulting and engineering services company. We are seeking a detail-oriented and reliable Financial Administrative Assistant / Bookkeeper to support our finance and administrative operations across AIX Group and its subsidiaries. The selected candidate will work closely with, and report directly to, the CFO, while also assisting branch owners with day-to-day needs. Responsibilities • Perform bookkeeping and financial administration in Deltek Ajera and QuickBooks Online • Support accounts payable (A/P), accounts receivable (A/R), and general ledger (GL) activities • Reconcile bank and credit card accounts • Prepare and post journal entries • Assist with payroll administration and reporting • Help with invoices, purchasing, and expense tracking • Maintain accurate financial records and transaction documentation for compliance and audits • Support general administrative duties as assigned • Collaborate directly with the CFO on financial reporting and assigned projects • Assist branch owners with administrative and operational tasks as needed • Manage scheduling, coordinate meetings, and assist with calls • Draft, review, and respond to professional correspondence (emails, memos, notices) • Provide organizational support to ensure smooth communication across all branches Qualifications • Proficiency in QuickBooks Online (Deltek Ajera experience strongly preferred) • Advanced Microsoft Excel proficiency highly recommended (pivot tables, VLOOKUP, financial analysis) • Strong written and verbal communication skills • Must be fully bilingual (English and Spanish), both spoken and written • Ability to manage multiple tasks, prioritize effectively, and meet deadlines • Professional, punctual, and reliable with strong attention to detail • Ability to work independently in a remote environment while aligning with California time zone • FAR (Federal Acquisition Regulation) accounting experience recommended • Bachelor’s degree in Accounting, Finance, or related field recommended Preferred: • 3+ years of bookkeeping or accounting experience • Experience supporting executives or business owners • Prior experience working across multiple entities or branches Schedule & Structure • Part-time: 20 hours/week, $25/hour for 90 days (trial period) • Transition to Full-time: Based on performance, role may expand to full-time with benefits (vacation, sick days, medical plan) How to Apply Please submit your resume along with a short cover letter explaining your relevant experience and why you would be a strong fit for this role.
