Full Description

1. Position Overview The Maintenance Scheduler is responsible for managing all customers enrolled in maintenance plans and ensuring they receive their scheduled preventive maintenance (PM) visits on time. This includes tracking renewals, verifying eligibility for complimentary visits, confirming pricing, and coordinating with the service department to schedule appointments efficiently. 2. Primary Responsibilities · Review QuickBooks customer list for all active maintenance plan clients. · Check previous invoices and notes to determine: · - Date of last maintenance visit · - If the plan is 1 of 1, 1 of 2, or 2 of 2 · - If the customer qualifies for a no-charge complimentary maintenance (due to recent install or warranty). · Contact customers to schedule upcoming PM visits. · Inform customers of renewal dates and pricing. · Ask customers if they need us to bring out a filter. · Record scheduled visits in QuickBooks and notify the service coordinator- Bethany, of each appointment set. Please send a picture of the week at glance and updated photos as needed. · Notate the appointment date and time in the notes for each appointment. · Examine customer files that have more than one address and schedule accordingly. · Track completed maintenance visits and follow up on unscheduled customers. · Maintain accurate records of communication, dates, and plan types. · Maintenance appointments should be confirmed the day before to ensure the customer is reminded of our scheduled visit. If a customer does not confirm via phone call, please leave a voicemail and text message. If they do not respond, please notify the office and we may have to cancel to prevent a wasted trip. • *THIS IS A BRIEF EXPLANATION OF THE ROLE.
