Nonprofit Federal Grant Manager Organization Overview: Agroecology Commons is a collectively-led nonprofit organization with a commitment to agroecological land stewardship and justice. Our purpose is to cultivate knowledge sharing, community action, and global solidarity for decolonized land stewardship, collective healing, and justice within the food movement. Position Overview: The Nonprofit Federal Grant Manager will be responsible for managing federal grants (currently five) including financial transactions, bookkeeping activities, compliance, and internal controls within the organization. This role requires attention to detail, strong organizational and budgeting skills, clear and comprehensive communication, and a comprehensive understanding of government grant regulations and reporting requirements. Key Responsibilities: • Grant Compliance and Financial Reporting: Oversee grant compliance activities, ensuring adherence to all grant requirements, regulations, and reporting deadlines. • Work closely with the grant administrator to monitor grant budgets, expenditures, and financial reporting. • Prepare and submit accurate grant financial reports and documentation to government agencies and grantors. • Support program staff in tracking and managing grant spending and forecasting. • Navigating grant budget adjustments and reallocations. • Audit Preparation and Support: • Assist with the preparation for annual financial audits or programmatic audits conducted by government agencies or external auditors. • Compile requested documentation and financial records for audit review. • Address any audit findings or recommendations related to financial management and grant compliance. • Internal Controls and Procedures: Develop and implement internal controls and procedures to safeguard organizational assets, ensure financial integrity, and comply with . • Review existing processes and recommend improvements to enhance efficiency and effectiveness. • Train staff on financial policies, procedures, and compliance requirements as needed. • Accounts Payable and Receivable: Process accounts payable transactions, including vendor invoices, expense reimbursements, and utility bills. • Generate invoices for services rendered or products sold and track accounts receivable. • Monitor aging reports and follow up on overdue invoices to ensure timely payment. • Financial Management: Maintain accurate and up-to-date financial records using accounting software (e.g., QuickBooks) to track income, expenses, and cash flow. • Prepare monthly financial statements, including balance sheets, income statements, and cash flow statements for review by management. • Reconcile bank accounts, credit card statements, and other financial accounts on a regular basis. • Support the collective through participatory budgeting to build annual organization and program budgets. • Payroll processing: Manage payroll processing, calculating employee wages, withholding taxes, and benefits contributions. • Prepare and distribute payroll checks or direct deposits in accordance with established schedules. • Ensure compliance with federal, state, and local payroll tax regulations. Qualifications: • Preference for USDA grant management experience • Minimum of five years of experience in bookkeeping, accounting, or financial management, preferably in a nonprofit or government grant-funded organization. • Strong knowledge of accounting principles, practices, and procedures. • Experience with accounting software (e.g., QuickBooks, Smartsheet) and proficiency in Google Sheets and Microsoft Excel. • Experience with federal government grant regulations, compliance requirements, and reporting standards. • Excellent analytical skills and attention to detail. • Ability to work independently and prioritize tasks efficiently. • Excellent communication and interpersonal skills. Working Environment: • Some flexibility in work hours may be required to meet deadlines or accommodate audit schedules.
