Bilingual Operations Manager (Adolescent Mental Health Program) Adolescent Wellness Academy (AWA) – Boca Raton, FL 📍 Full-Time | In-Person | 11:00 AM–7:00 PM or 12:00 PM–8:00 PM Bilingual (English + Spanish or Portuguese) Required About the Role AWA is seeking a compassionate, organized, and highly dependable Operations Manager to support daily program flow, lead administrative operations, and partner closely with the Clinic Director to maintain a healing, safe, and structured environment for adolescents and families. This role is the operational heartbeat of the clinic—ensuring smooth day-to-day functioning so clinicians can focus on delivering excellent care. Key Responsibilities Administrative & Office Management Greet families, answer phones professionally, and manage front-desk operations. Oversee supplies, inventory, mail, facility maintenance, and IT coordination. Prepare intake materials and support marketing/event logistics. Assist with insurance verification and maintain accurate financial/operational reports. Clinical Operations Manage daily schedules in KIPU (intakes, IPEs, NP sessions, groups). Communicate with group facilitators, nutritionists, and psychiatric providers. Notify Admissions of consult/intake attendance and send weekly parent group reminders. Provide Wellness Coordinator coverage when needed. Client Satisfaction & Records Management Monitor client satisfaction feedback and support improvement efforts. Facilitate Google Review collection and outcomes tracking. Scan, upload, and maintain client records, census reports, attendance, assessments, and R2D2 tasks. Local HR & Team Support Track PTO, review hours for hourly staff, and approve group facilitator charges. Assist with recruiting coordination, screening, onboarding, and annual training compliance. Support internal communication, team events, birthdays, and recognition efforts. Review employee satisfaction results and help identify opportunities for improvement. Safety & Compliance Support emergency procedures, client crisis protocols, and documentation. Maintain incident reports, monthly EOC checklists, fire drills, and disaster preparedness logs. Required Qualifications Bilingual in English + Spanish or Portuguese 2+ years administrative or operations experience (behavioral health preferred) Strong organization, communication, and multitasking skills Comfortable engaging with adolescents and families in a fast-paced clinical setting Proficient with EHRs (KIPU preferred), scheduling tools, email, and spreadsheets Eligible for DCF and AHCA Level-2 Background Check Your Impact You help create an environment where teens feel safe, families feel supported, and clinicians feel empowered.
