Administrative Assistant – Bookkeeping, Payroll & Front-Office Support Oakbrook Terrace, IL – On-Site Acumen Accounting & Tax Services is seeking a detail-driven administrative professional with hands-on bookkeeping, payroll experience, and strong front-office capabilities. This role supports client intake, daily office operations, bookkeeping tasks, payroll processing, and increased administrative demand during tax season. Precision, professionalism, and reliability are essential. Key Responsibilities • Prepare, organize, and maintain client files, monthly deliverables, and intake documentation. • Perform routine bookkeeping tasks, including reconciliations and transaction coding in QuickBooks Online - training provided as necessary. • Process payroll for multi-state clients; oversee onboarding, terminations, and payroll changes. • Assist accountants with year-end packages, 1099 preparation, compliance tasks, and correspondence. • Provide expanded administrative support during tax season, including managing increased client volume and document flow. • Provide front-office support: greet clients, manage calls, as needed. • Support general office operations, supplies management, and administrative workflow. Requirements • Minimum 2+ years of bookkeeping and payroll experience (QuickBooks Online required). • Professional front-office presence with polished communication skills. • High accuracy, strong organizational discipline, and ability to follow established processes. • Demonstrated technical proficiency: QuickBooks Online, cloud-based systems, document portals, and modern office software. • Ability to manage competing priorities without sacrificing quality. Preferred • Experience in a CPA firm or other professional services environment. • Familiarity with payroll platforms (ADP, Gusto, Paychex) and tax-related documentation. Schedule & Compensation Full-time, on-site. Competitive pay based on experience.
