Position Summary Activate is seeking a highly organized and detail-oriented Project Manager to oversee the planning and execution of custom PR kit programs. These programs combine creative storytelling, packaging design, product sourcing, and fulfillment to deliver memorable brand experiences directly to influencers, media partners, and consumers. This role will serve as the operational lead for PR kit programs, working closely with the Creative and Fulfillment teams to ensure projects move smoothly from concept through delivery. The Project Manager will own the timeline, logistics, and operational coordination required to bring each program to life while maintaining strong communication with internal teams, clients, and vendors. This position is primarily office-based with limited travel. Key Responsibilities Program & Project Management • Own the full project lifecycle for PR kit programs, from creative concept through production, fulfillment, and delivery. • Develop and manage detailed workback schedules to ensure milestones and deadlines are met across internal teams and external partners. • Maintain comprehensive project documentation including budgets, schedules, shipping plans, and production trackers. • Monitor project progress and proactively identify risks, bottlenecks, or timeline conflicts. Vendor & Production Coordination • Manage vendor relationships including packaging suppliers, print vendors, product manufacturers, and logistics partners. • Coordinate packaging specifications, and production timelines in collaboration with the Creative team. • Source materials and production solutions that align with creative direction, budgets, and timelines. • Ensure all production elements meet quality standards and client expectations. Fulfillment & Logistics • Collaborate with the Fulfillment Manager and warehouse team to ensure kits are packed accurately, efficiently, and to the highest quality standards to maximize client satisfaction and recipient impact. • Oversee inventory tracking, kitting logistics, and shipping coordination for large-scale kit distributions. • Develop clear packing instructions and operational documentation for warehouse and fulfillment teams. Budget & Timeline Management • Track program budgets and manage costs across vendors, materials, shipping, and production. • Maintain budget visibility and communicate updates or risks to leadership and client teams. • Ensure projects remain on schedule while balancing creative ambitions with operational realities. Client & Team Collaboration • Serve as a key point of coordination between Creative, Production, Operations, and Fulfillment teams. • Communicate directly with clients and vendors to provide project updates, confirm specifications, and resolve issues. • Ensure PR kit programs integrate smoothly with broader experiential campaigns when applicable. Job Qualifications • Education: Bachelor's degree preferred. • Experience: 3-5+ years of project management experience, preferably in marketing, experiential marketing, product launches, packaging, or creative production environments. • Demonstrated experience managing complex, multi-step projects with many moving parts. • Experience working with vendors, production partners, and logistics providers. Requirements • Excellent organizational and time management skills. • Strong written and verbal communication abilities. • Proven ability to manage multiple projects simultaneously in a fast-paced environment. • Experience with project management software such as Asana, Monday.com, Trello, or similar tools. • Strong attention to detail and commitment to quality execution. • Comfortable working cross-functionally with creative teams, operations teams, and clients. • Ability to occasionally work in the warehouse to coordinate kit packing and quality checks. • Based in the Metro Detroit area with ability to work in-office in Ferndale, MI three days per week.
