Interested? Here's what you'd do: • Creates & prepares routine reports for the Operations and Maintenance Departments, including collecting data from all departments and compiling reports. • Maintains system documents, maps, graphs, and charts as necessary by the Company and Customer. • Types, logs, distributes, and files bulletins. • Manage and route phone calls appropriately. • Make travel arrangements, and update the calendar of the Department manager when tasked. • Enter financial data from invoices, bills, receipts, and other documents as necessary. • Prepare presentations, spreadsheets, and reports. • Update office policies as needed. • Key responsibilities include liaising between departments, supporting staff with administrative duties, ensuring adherence to policies, and handling general clerical tasks, often using Microsoft Office applications and other office equipment. Required Skills / Qualifications: • High School Diploma or GED. • Minimum of 2 years of Invoicing experience. Preferred Skills / Qualifications: • Proficiency in office software, including documents and spreadsheet programs. • Ability to organize and manage multiple tasks and priorities effectively. • Excellent written and verbal communication skills for interacting with staff and clients. • Meticulous attention to detail when preparing documents and managing records. • Ability to handle confidential information with discretion and integrity. • Capacity to identify and resolve administrative issues and streamline processes. • Essential skills include good organization, communication, multitasking, problem-solving, and attention to detail. • Ability to communicate effectively, both orally and in writing; ability to maintain a rapport with employees and other personnel, and the ability to deal courteously and effectively with others. • Ability to exercise prudent and timely judgement in normal and emergency situations; thoroughly evaluate facts to follow through and effectively document actions taken. Additional Information: • Upon offer of employment, the individual will be subject to a background check and a drug screen. • In compliance with federal law, all persons hired will be needed to verify identity and eligibility to work in the United States and to complete the necessary employment eligibility verification form upon hire. • Possession of a valid state driver's license. • Ability to work variable hours and shifts as required for the needs of the business.
