Veterinary Client Liaison / Client Services Representative Title: Veterinary Client Liaison / Client Services Representative Location: Onsite Reports To: Lead Client Services, Lead Animal Rehabilitation Practitioner, and Clinic Manager Status: Non-Exempt; Full-Time Salary Range: $23.00 – $26.00 per hour Job Summary We are seeking a friendly, compassionate, organized, and service-oriented Veterinary Client Liaison / Client Services Representative to join our clinic team. This position is ideal for someone who loves working with both people and animals, enjoys providing exceptional client care, and thrives in a busy, team-focused environment. As the first point of contact for our clients, you will play a key role in creating a smooth and positive experience—welcoming clients, scheduling appointments, assisting veterinarians and rehabilitation staff, and ensuring the clinic remains organized and inviting. The right candidate will be a strong communicator, detail-oriented, and comfortable multitasking in a dynamic veterinary rehabilitation clinic. Key Responsibilities Client Services and Liaison • Warmly greet clients and visitors, ensuring a welcoming and comfortable experience. • Collect and accurately enter new client and patient information into medical records and practice management software. • Obtain patient weights and updated patient histories. • Escort clients and patients to exam rooms and treatment areas. • Act as a liaison for new clients by reviewing treatment plans and coordinating follow-up appointments. • Schedule appointments for new and established patients. • Process payments for services rendered or send online invoices as needed. • Fill prescriptions for clients to take home and review instructions; ensure proper double-check protocols are followed. • Call prescriptions into pharmacies as needed. • Assist clients with multiple pets or large purchases to their vehicles when required. • Maintain appointment flow by alerting medical staff to patient arrivals and updating clients waiting in the lobby. • Prepare charts for upcoming appointments. • Ensure all client communications (phone, email, text, and verbal) are documented in medical records. • Request and manage medical records from referring veterinarians, ensuring all documentation is attached to the appropriate patient files. • Respond to client inquiries via phone, email, or text and relay messages to the appropriate team members. • Email or fax medication authorizations and medical records as approved by the veterinarian. Appointment Assistance • Support veterinarians and rehabilitation assistants with patients by providing distraction, treats, or gentle restraint as needed to ensure a calm and safe experience. • Act as a “Fetch” person by quickly retrieving supplies or equipment as directed by the veterinarian or animal rehabilitation assistants. Clinic Cleanliness and Maintenance • Clean and restock exam rooms and treatment areas between appointments and at the end of each day. • Assist with prompt clean-up when patients have accidents in the clinic. • Maintain cleanliness and organization throughout the clinic, including vacuuming, mopping, taking out garbage, dusting, and putting away equipment as needed or directed. • Keep the client reception/lobby area, restrooms, and offices clean and well-stocked. • Replenish supplies in all client and staff break areas, including paper towels, toilet paper, garbage bags, and air fresheners. • Assist with the daily, weekly, and monthly cleaning of the underwater treadmills and water tank, if requested. Other duties as assigned. Essential Qualifications and Skills Experience: Prior experience in a veterinary medical environment, with emphasis on Client Services preferred. Communication Skills: Must have strong verbal, written, and active listening skills, along with superior interpersonal and customer service abilities. Compassion and Empathy: A genuine love for animals and people, with an understanding of the emotional aspects of pet ownership and veterinary care. Must be able to maintain compassion, sympathy, and professionalism in all situations, including high-stress circumstances. Organizational Skills: Excellent time management and the ability to multitask effectively. Knowledge: Familiarity with veterinary medical terminology, medications, and appointment scheduling and invoicing software strongly preferred. Schedule & Compensation • Position Type: Full-Time • Schedule: Four 10-hour days per week, Tuesdays required.
