Office Assistant – Wilson, NC A Caring Heart Case Management About Us A Caring Heart Case Management provides compassionate, person-centered support for individuals with intellectual and developmental disabilities (IDD). Through our day programs, group homes, and community services, we empower people to live meaningful, fulfilling lives. Position Summary We are looking for a detail-oriented, organized, and reliable Office Assistant to join our Wilmington day program team. In this role, you will support the administrative backbone of our operations — helping our staff stay coordinated, ensuring accurate records, and assisting in the logistical and clerical tasks that keep our services running smoothly. Your work will directly contribute to the quality of care and support we provide to the people we serve. Key Responsibilities • Serve as primary point of contact for phone calls, emails, and in-person inquiries • Manage filing systems and maintain both physical and electronic records • Perform data entry with accuracy (client records, staff logs, billing, etc.) • Assist with staff training coordination (scheduling, documentation) • Navigate and maintain internal systems (timekeeping, training software, documentation platforms) • Support billing processes, including tracking and preparation of paperwork • Help plan and execute events or program activities, as needed • Maintain office supply inventory, order items, and ensure workspace is organized • Assist in other administrative or operational tasks as assigned by Program Director Qualifications • High school diploma or GED required • Valid driver’s license, current registration, and insurance • Minimum 3 Years driving Experience • Proficiency in Microsoft Office (Excel, Word, Outlook) • Exceptional organizational, clerical, and communication skills • Ability to manage multiple tasks, prioritize, and work independently • Reliable, professional demeanor, and a strong attention to detail • Must pass background check and reference checks • Experience in an administrative role is a plus, though not always required Why Join Us • Meaningful work: support a mission-driven organization serving individuals with IDD • Collaborative, caring work environment • Opportunities for growth and professional development • Flexible, part-time (or full-time, depending on need) hours • Competitive pay (based on experience, education, and skills) How to Apply To apply: • Visit our office at 1901 Tarboro Street Wilson, NC to pick up a paper application. • Or Apply online at: https://form.jotform.com/221295951241151 • Or call Devon, Operations Manager, at 910-200-4994 between 8:30 am – 5:00 pm to start the application process.
