Become an integral part of the Commercial & Investment Banking Strategy team where you will have the opportunity to work in a fast-paced organization and each day will be unique! As an Executive Administrative Assistant with Commercial & Investment BankingStrategy, you will support the Head of Strategy Global Banking and a team of executives. Your ability to seamlessly navigate the firm, coupled with strong organizational and time management skills, will be essential. You will consistently demonstrate professionalism and discretion while delivering flawless work. Your daily responsibilities will involve engaging with executive-level internal clients across diverse business lines, requiring you to exercise sound judgment in various situations. You will adeptly adapt procedures, processes, and techniques to align with the department's activities and goals. Additionally, you will support a range of projects and initiatives, contributing to the enhancement of the department’s operational efficiency. Job responsibilities: • Manage complex calendars, scheduling internal and external meetings, coordinating conference rooms and calls, and ensuring all logistics are communicated to attendees. • Coordinate events, including town halls, off-sites, team activities, and cross-team collaborations, ensuring all details are meticulously handled. • Manage a high volume of emails by monitoring requests and responding promptly and professionally. • Provide assistance with work overflow and special projects as needed. • Answer phones with professionalism, addressing issues or redirecting calls as appropriate. • Coordinate both international and domestic travel arrangements with attention to detail. • Compile and submit expense reports promptly, ensuring adherence to company policies and processing items within established guidelines. • Collaborate effectively with the administrative assistants team, fostering a positive partnership to ensure seamless support for one another. Required qualifications, capabilities, and skills • A minimum of five years of administrative experience • Demonstrated experience in supporting multiple executives • Excellent interpersonal, written, and verbal communication skills. • Enthusiastic and self-motivated, with the ability to remain calm and effective under pressure. • Highly organized and detail-oriented, with a strong commitment to accuracy. • Handle routine tasks independently and proactively addressing potential issues or delays, demonstrating a sense of urgency in managing a high volume of scheduling requests. • Ability to exercise independent judgment in diverse situations. • Collaborate effectively with the assistants team to ensure seamless coverage for their respective teams. • Motivated by a collaborative environment and willing to go above and beyond. • Strong proficiency in Microsoft Office applications. Preferred qualifications, capabilities, and skills • Experience supporting at the Managing Director level (or equivalent) or above • College degree is a plus Please note: This role requires five days in the office, from Monday to Friday, and will not support hybrid options.
