Job Overview: The Executive Assistant will provide comprehensive administrative support to our Regulatory Affairs (RA) and Human Resources (HR) teams. In this dynamic role, you will play a vital part in ensuring the smooth operations of these critical departments, enabling our leaders to focus on driving strategic initiatives and fostering an inclusive, high-performing culture. Responsibilities: The Executive Assistant will be primarily responsible for providing support to include, but not limited to: Managing active calendars, written and telephone communication, and documentation scanning and filing. Arranging complex domestic and international travel itineraries in compliance with policy and procedure to optimize use of Executive's time and schedule, and processing expense reports in a timely manner. Coordinating department meetings including developing agenda and content, communications and meeting logistics, meeting minutes, and ensuring technical support for global participants Processing invoices and purchase orders ensuring payment fulfillment. Managing interview schedules for department positions. Analyzing and summarizing data, generate reports, and maintaining department metrics and dashboards Creating communication, PowerPoint presentations and Excel spreadsheets for executive level projects. Utilizing MS Excel to support key initiatives, including year-end pay review analysis, PowerPoint executive summary creation, and talent development reporting for the respective teams. Providing administrative support for the planning and execution of RA and HR Annual Strategic Planning and other projects as assigned. Partnering with team members on critical project tracking and reporting. Team member in planning and executing special events (i.e. Senior Leadership Team meetings, recognition awards, company events etc). Education and Experience: High School diploma (or equivalent) required with minimum of 6 years of relevant administrative experience. Bachelor’s degree preferred. Experience scheduling and managing calendars of business leaders, preferably senior executives, with attention to accuracy and detail required. Experience processing expense reports and purchase orders required. Human resources and/or regulatory affairs experience preferred. Must have professional demeanor and exceptional interpersonal and communication skills, including both written and verbal communication skills. Ability to build and maintain strong relationships across the organization to influence and achieve objectives required Ability to handle internal and external information and matters with utmost confidentiality, discretion and sound judgement required Strong organizational skills, detail-oriented, and ability to multi-task required Strong critical thinking skills and the ability to address and solve problems quickly required. Ability to proactively anticipate team’s needs and plan ahead required.
