Within the USO, our administrative operations are primarily housed in the Trinity Washington Building located in downtown Atlanta. Our Information Technology Services (ITS) division is located in Athens. The University System of Georgia Shared Services Center (SSC) is located in Sandersville. The Georgia Public Library System is located in Atlanta. The Georgia Archives is located in Morrow. The State of Georgia Records Center is located in Austell. Job Summary This position manages all aspects of the USG Goes Global program under the direction of the Director of International Education. The USG Goes Global program is an administrative unit housed at the University System of Georgia that oversees all USG consortia study abroad programs. Program management consists of budgeting oversight, and coordination of a tuition sharing model facilitated by the University of West Georgia. In addition to budgeting duties, the Program Manager will provide assistance to individual program directors and teaching faculty, oversee on-site providers, maintain the website, coordinate faculty and course approvals for all programs, maintain the applicant management system and CRM, and program marketing. Responsibilities o Oversees program and tuition budgets including collection of program charge for all USG Goes Global study abroad consortia programs and payouts from program charge account to approved and contracted vendors. o Oversee student application process, including application submission and review, receipt of program charge, course selections, passport copies, surveys, consent, waiver and approval forms via a provided CRM. o Provide real-time assistance to program directors and teaching faculty before, during and after program delivery. o Oversee on-site providers at each study abroad location. o Plan and run all meetings associated with USG Goes Global programs such as faculty selection and orientation (includes maintenance of policies and procedures handbook), student orientation (including creation of orientation handbook), curriculum committee reviews, and general update meetings for institutional representatives. o Maintain CRM to facilitate student application process, maintenance of leads, faculty credentials. Also, use CRM to create reports and provide data. o Maintain International Education and USG Goes Global Website. o Creates USG Goes Global Marketing materials and attends study abroad fairs and other venues to promote programs. o Coordinates curriculum committee groups to provide SACs compliance for USG Goes Global unit programs. o Accreditation oversight, including Xitracs entry and maintenance. o Assists in preparing recommendations for executive leadership regarding financial management policies and procedures. o Calculates, monitors and plans the development and utilization of reserves. o Manages charts of accounts. o Prepares a variety of regular and special reports. o Assists in negotiating business terms and conditions and vendor pricing with new and existing University System of Georgia (USG) contracts. o Reviews vendor contracts for accuracy and completeness; evaluates and approves vendor change requests. o Assists in developing customized solutions with vendors. o Maintains strategic relationships with vendors. o Improves processes and policies in support of department mission and goals. o Ensures vendor compliance with state and USG regulations. o Resolves issues and implements solutions to address negative vendor performance. o Oversees programmatic and budgetary activities for assigned program(s). o Works collaboratively and assists system institutions with program-related activities and services. o Collaborates with USG and external constituencies to conduct needs assessments and to recommend and implement solutions to specific programmatic related issues and concerns. o Research and develops recommendations for new policies and policy revisions. o Collects and analyzes related data; prepares a variety of regular and special reports. o Serves as liaison with system institutions. o Designs, plans and implements professional development training for faculty and staff. o Facilitates relationships with partner agencies across initiatives. o Serves on a variety of internal and external committees, working groups, and task forces. o Performs related duties as assigned. Required Qualifications Educational Requirements Baccalaureate degree required. Required Experience Over three years of related experience required. KNOWLEDGE Demonstrated ability to comply with international and U.S. budgeting and accounting principles Experience and/or working knowledge of study abroad programs Experience and/or knowledge of study abroad software/CRMs such as Via TRM or Terra Dotta Attention to Detail Ability to speak to medium to large groups including students, parents and university representatives from all levels and other stakeholders Ability to work independently Knowledge of Board of Regents purchasing and licensing policies and procedures. Knowledge of University System of Georgia Business Procedures. SKILLS Skill in the analysis of financial data and the preparation of related reports.
