Job Overview We are seeking an energetic and detail-oriented Front Desk Staff member to be the welcoming face of our property management company. In this vital role, you will serve as the first point of contact for visitors, tenants, and team members, ensuring smooth daily operations at the front desk. Duties • Greet visitors and clients warmly, providing excellent customer service and ensuring a positive first impression • Manage multi-line phone systems, directing calls accurately and professionally using proper phone etiquette • Handle incoming correspondence, emails, and inquiries with promptness and clarity • Maintain organized files, data entry records, and documentation using Microsoft Office, Google Workspace, and other office software • Schedule appointments, manage calendars, and coordinate maintence for properties • Speaking to tenants regarding rent and leasing • Support office management tasks such as filing, proofreading documents, and organizing supplies • Assist with bookkeeping tasks using QuickBooks or similar accounting software when needed • Provide general clerical support including typing reports, supporting customer support efforts, and maintaining office cleanliness Skills • Proven experience in office management or administrative roles with strong organizational skills • Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel), Google Workspace (Docs, Sheets), and data entry tools • Strong customer service skills with the ability to handle inquiries professionally via phone or in person • Bilingual abilities are a must in SPANISH • Experience with multi-line phone systems and phone etiquette to ensure clear communication • Familiarity with clerical tasks such as filing, proofreading, calendar management, and document preparation • Knowledge of medical or dental receptionist duties is a plus but not required; relevant personal assistant experience is beneficial • Ability to prioritize tasks efficiently with excellent time management skills • Attention to detail in proofreading documents and managing data accurately • Basic bookkeeping skills including familiarity with QuickBooks or similar software are advantageous Join us to be part of a vibrant team dedicated to delivering exceptional service while honing your administrative expertise.
