We’re looking for a world-class Executive Assistant who can operate at the speed of one of our founders and the founding team and help build the operational backbone that supports everything we do. Note From Hiring Manager (Role Description) This is a full-time role for an Executive Assistant to the Founder and Founding team. Your mission is simple: 👉 Make the founder’s life easier. 👉 Keep the founder accountable. 👉 And proactively remove every point of friction from his day. You will act as an extension of the founder’s brain - anticipating needs, managing communication, coordinating projects, solving problems, and keeping operations organized across multiple companies. This is not a standard assistant role. This is for someone who thrives in fast-paced environments, can make decisions independently, and is willing to support a founder who works across time zones, travels frequently, and often operates outside of normal business hours. If you are someone who enjoys stepping into chaos, bringing order, and owning the execution of high-impact tasks - you will thrive in this role. Core Responsibilities: Founder Support & Accountability • Keep the founder accountable to his priorities, deadlines, and commitments. • Proactively pull tasks from the founder - don’t wait to be told what to do. • Maintain a full operating picture of the founder’s goals, tasks, and projects. • Anticipate needs before they come up and solve problems independently. Communication & Coordination • Manage inbox at Inbox Zero daily and draft/respond to emails on the founder’s behalf. • Coordinate between departments (sales, CS, ops, media, agency, finance). • Manage relationships with partners, vendors, clients, and contractors. • Prepare meeting notes, briefs, follow-up tasks, and summaries. Scheduling & Calendar Management • Fully own the founder’s schedule and daily flow. • Protect focus time, optimize meeting blocks, and eliminate conflicts. • Ensure the founder is always prepared with context for every meeting. Travel & Logistics • Research and book complex domestic and international travel. • Optimize all travel via credit card points, loyalty programs, and best routes. • Handle last-minute changes, cancellations, and travel emergencies. • Prepare travel packets with all documents, reservations, and itineraries. Admin & Operational Support • Manage documents, operating agreements, contracts, and forms across entities. • Assist in onboarding new hires (email setup, systems access, Slack, etc.) • Help maintain systems, dashboards, and SOPs. • Handle personal admin tasks that support the founder’s execution and focus. Qualifications • 3–7+ years supporting a CEO, founder, or high-performance executive as an executive assistant or project manager. • Proven ability to operate independently and make decisions without hand-holding • Exceptional written and verbal communication skills • Strong project management abilities • Highly organized - able to create order out of chaos • Experience managing complex travel • Ability to work in a fast-paced, dynamic, and entrepreneurial environment • High integrity, discretion, and professionalism • Passion for excellence and serving at a high standard Availability Expectations • This role requires responsiveness outside of normal business hours. • Founder frequently works nights, weekends, and across time zones • Must be comfortable responding to urgent messages when needed • Must be available for occasional weekend/evening responsibilities • This is not a “9–5” support role - this is a high-responsibility, founder-facing position Compensation Base Salary: $70,000–$85,000/year (depending on experience) Bonuses: Performance-based bonuses and Paid Time Off available.
