Responsibilities Executive Support • Manage and prioritize the attorney’s calendar (hearings, mediations, deadlines, meetings) • Provide daily reminders and prepare agendas, schedules, and action lists • Answer and route phone calls; screen communications efficiently • Set up and coordinate negotiations with adjusters and opposing counsel • Track outstanding tasks, deadlines, follow-ups, and priorities • Support the attorney by identifying issues early and offering thoughtful solutions Administrative & Operational Support • Maintain organized digital and physical files in case management software • Draft, edit, and send professional correspondence • Assist with proofreading, document preparation, and basic research • Coordinate communication across the litigation and pre-litigation departments • Support overall office organization and workflow Client & Case Support • Conduct initial client intake interviews • Serve as liaison between clients, attorney, medical providers, and insurance companies • Communicate case progress and respond to client questions promptly • Perform claim setup, lien searches, and case support tasks • Gather, organize, and review medical records and billing Qualifications • Self-reliant with a proactive, common-sense approach to problem-solving • Strong persuasive writing and communication skills • Accurately transcribes and processes detailed information • Maintains a positive attitude and provides exemplary customer service • Values and prioritizes punctuality • Excellent organization and time management skills • Effectively multitasks and prioritizes in high-volume, deadline-driven environments • Thinks quickly and analytically under pressure • Works independently and collaboratively within a team • Bilingual (Spanish/English) is a plus • At least 1 year of experience preferred If you are a motivated, results driven, and self reliant individual who is passionate about helping clients navigate legal challenges and recover from traumatic events and are looking for opportunities for professional development and long term career growth, we encourage you to apply for this position.
