| $25 per hour | 90-Day Probationary Period The Executive Workplace Manager ensures the office operates smoothly, efficiently, and professionally. This part-time role supports daily operations, organization, scheduling, supplies, errands, event coordination, and provides assistance to the executive assistant team. The ideal candidate is proactive, detail-oriented, and proficient with Microsoft Office, Google Workspace, QuickBooks, and Canva. Key Responsibilities Workplace & Office Management • Maintain a clean, organized, and efficient workplace environment. • Check in, track, and order office supplies as needed. • Oversee vendor communication, mail, deliveries, and general office operations. • Run errands including pickups, drop-offs, and supply runs. • Manage both digital and physical filing systems. Scheduling & Calendar Management • Read and manage calendars, adding meetings, appointments, and reminders accurately. • Schedule and set up conference rooms for team and client meetings. • Ensure calendar entries are clear, consistent, and up-to-date. Financial & Administrative Support • Use QuickBooks for expense entry, invoicing, vendor payments, and basic bookkeeping tasks. • Track receipts, office expenses, reimbursements, and monthly cost logs. Google Workspace & Microsoft Office • Use Google Sheets for tracking, lists, budgets, and data management. • Create documents using Google Docs, Forms, Slides, and Drive. • Proficient in Excel, Outlook, Word, and PowerPoint for communication and documentation. • Maintain organized shared drives and digital folders. Design & Communication • Create simple flyers, graphics, internal documents, and presentations using Canva. • Support branded office materials and internal communications. Event & Project Coordination • Assist with planning office events, meetings, and team activities. • Handle logistics such as supplies, catering, invitations, setup, and vendor scheduling. • Support project timelines, task lists, and follow-through. Team Support & Collaboration • Work well with others in a professional, positive environment. • Assist and support head executive assistants with administrative tasks, scheduling, and organizational needs. • Communicate clearly with staff, vendors, and guests. Qualifications • Strong organizational and multitasking skills. • Proficient in Google Workspace, Microsoft Office, QuickBooks, and Canva. • Excellent communication skills and professional demeanor. • Ability to run errands and support various office tasks. • Reliable, trustworthy, and detail-oriented.
