Owned and operated by the nonprofit Manned Space Flight Education Foundation, we are the Official Visitor Center of NASA Johnson Space Center and a Smithsonian affiliate. We are currently seeking a full-time Event Operations Coordinator, responsible for driving new business, ensuring excellent client service, and managing the seamless execution of events from concept to completion. Responsibilities and qualifications are shown below: POSITION RESPONSIBILTIES: • Read and respond to incoming emails ensuring: • A timely response • accurate material organization of the email • professional delivery of the email • Responsible for supporting the planning and implementation of assigned events at Space Center Houston. Primary events include private third-party events. • Meet or exceed weekly touchpoint goals with all clients and potential clients. • Collaborate with peers to achieve team goals. • Work closely with the Wolfgang Puck Catering team to assist in creating a full spectrum event experience. Facilitate the addition of event enhancements through upselling add-on experiences as appropriate. • Focus on working within the events department to streamline the event planning process in conjunction with regular internal programs offered by Space Center Houston. • Assist the Manager of Event Sales and Operations and events team with administrative/clerical tasks including, but not limited to, preparing department Event Notices, office supply order requests and other general office functions. • Monitor special events inbox and respond as needed to incoming internal meeting requests. • Oversee onsite operations of assigned events as needed. Utilize VenueOps software effectively to book any private event needs within the guidelines set forth for event booking strategy. • Work closely with internal teams to monitor event registrations and special requests. • Prepare and distribute Event Notices and diagrams for all assigned events. • Participate in weekly BEO meeting to convey all event needs/updates. • Manage the weekly distribution calendar and communications along with the daily communication updates for event team. • Provide weekly updates to the Manager of Event Sales and Operations on the status of any upcoming assigned programs. • Perform office duties and special projects as requested. • Other duties and special projects as assigned. POSITION QUALIFICATIONS: • A minimum of two years of work experience in a position requiring related skills or experience. Event planning or project management experience a plus. • An associate or bachelor’s degree a plus. • Experience in operational and logistical focused event planning a plus. • Strong organization skills. • Strong computer skills using Microsoft Office Suite with the aptitude to learn new software and systems. Experience with VenueOps and All Seated software a plus • Ability to work within a budget. Knowledge of fee-based programs a plus. • Ability to represent Space Center Houston in a professional manner. • Ability to remain calm under pressure • Must be coachable and willing to learn, while maintaining a consistent positive attitude with clients and crew members. • Ability to excel in a fast-paced environment and respond as needed to unexpected changes professionally and courteously. • Excellent relationship building and interpersonal and communication skills, with the ability to interact comfortably and effectively with all levels of an organization. • Excellent oral and written communication, customer service and problem-solving skills. • A high-energy, self-starter with the ability to work as part of a small professional team in a consensus decision-making environment. • Must be independent, reliable, and able to work with limited supervision. • Desire to learn and grow within the event/hospitality industry. • A creative team player with a willingness to work hard and a commitment to quality. • Must be able to work a flexible schedule with some weekends and evenings as needed.
