JOB SUMMARY: Directly supervises all front office personnel and ensures proper completion of all front office duties. Directs and coordinates the activities of the front desk, reservations, guest services, and telephone areas. Assists the DOS with entering group information into the PMS. Assists GM in all aspects of running the hotel. DUTIES AND RESPONSIBILITIES: 1. Ensure the best possible lodging experience for each guest. 2. Assist with the processing of the account receivables within the hotel. This includes but is not limited to the accurate billing of all accounts and collecting of all payments. 3. Participates in the selection of front office personnel, including interviewing, hiring, training, reprimanding of front office staff. 4. Evaluates the job performance of each front office employee. 5. Supervise the workloads of employees during their shift. 6. Approve schedules for front desk department and ensures proper staffing levels within the hotel. 7. Monitor payroll and make certain labor hours/dollars are in proper ration with the business demand level of the hotel. 8. Works within the allocated budget for the front office. 9. Maintain control of all master keys. 10. Maintains working relationships and communicates with all departments. 11. Receives information from the previous shift manager and passes on pertinent details to the oncoming manager. 12. Monitors the status of rooms and informs the general manager if any room is OOO for any unknown reason. Investigates all discrepant rooms and resolves the issues. 13. Maximizes room revenue and occupancy by reviewing status daily. Prepare revenue and occupancy forecasting (30-60-90 day forecast report). Ensure that the Easy Glance report is being completed daily and accurately. 14. Operate all aspects of the PMS system including software maintenance, report generation and analysis and simple configuration changes. 15. Reviews and completes the credit limit reports and enforces all cash handling, check handling and credit policies for the hotel. 16. Conducts regularly scheduled meetings of the front office personnel. 17. Oversee the logging and delivery of all messages, packages and mail in a timely and professional manner. 18. Answers all comments on OTA's. 19. Assists the General Manager with answering comments on the brand's guest survey portal. 20. Assists the General Manager with the ordering of supplies for the hotel. 21. Assists the Director of Sales with coordination of group business into the hotel. 22. Updates group information. Maintains, monitors and prepares group requirements prior to arrival. Relays information to appropriate personnel. 23. Maintain required par levels of all front office supplies. 24. Review daily front office work and activity reports generated by Night Audit for accuracy. Complete the daily report. 25. Oversees and makes all decisions necessary for the smooth operation of the hotel in the absence of the general manager. 26. Uphold the hotel’s commitment to hospitality. 27. Resolves guest problems quickly, efficiently and courteously. 28. Review front office log book and guest feedback forms on a daily basis. 29. Maintain an organized and comprehensive filing system with documentation of purchases, vouchering, schedules, forecasts, reports and tracking logs. 30. Participates in the Manager on Duty Program. 31. Any other duties as assigned.
