Position Overview Digital Marketing Agency Operations Manager—a role for a leader excited to make an impact. We are hiring a Digital Marketing Operations Manager to oversee operations, workflows, resource planning, and team performance for our full-service digital marketing agency. This role manages the day-to-day structure across teams and requires a strong understanding of digital marketing to effectively support and guide the teams executing the work. Key Responsibilities Marketing Operations & Workflow Management • Build, refine, and maintain workflows that support smooth handoffs, clear task assignment, and on-time delivery. • Monitor deadlines, deliverables, bottlenecks, and team capacity to balance resources and address risks early. • Maintain SOPs, templates, and documentation, identifying and implementing operational improvements. • Oversee quality standards to ensure deliverables are accurate, complete, and consistent. • Coordinate work across teams and maintain project visibility to ensure dependencies, communication loops, and handoffs function correctly. • Support implementation and optimization of project management tools, task systems, and processes. • Coordinate marketing tools and workflow systems, ensuring accurate data, consistent usage, and leading evaluation and implementation of new tools or integrations. Client Oversight & Coordination • Ensure client goals and requirements are clearly communicated to the team, joining key meetings as needed for clarity and alignment. • Provide high-level client oversight by addressing escalations and concerns across the project lifecycle. • Allocate team resources across clients based on capacity, skillset, and priority. • Monitor client hours and time tracking to prevent over-servicing and surface budget risks early. • Identify at-risk projects or clients and intervene early, managing escalations as needed. • Identify opportunities for upsells or expanded services based on client needs and performance trends. • Support proposal creation from an operational standpoint, ensuring scopes, timelines, and resource needs are accurate. • Review and approve client invoices by confirming billable hours, project details, quotes, and updates for accuracy. • Assist the CEO with operational or client-related initiatives. Team Leadership & Development • Lead a multi-disciplinary team including Marketing Specialists, Project Managers, and designers. • Support teams collaborating with remote developers as needed, without managing dev directly. • Lead recurring 1:1s, coaching, performance discussions, and annual reviews, including addressing performance issues when they arise. • Develop onboarding plans, learning paths, cross-training programs, and role development pathways. • Support HR with staffing, forecasting, interviews, onboarding, offboarding, and employee relations. Internal Marketing (PWI Marketing) • Oversee tracking and analytics for PWI marketing and ensure UTMs, conversions, and dashboards are implemented correctly. • Monitor internal marketing KPIs and provide leadership with performance insights to support company goals and resource planning. Strategic & Department-Level Leadership • Contribute to strategic planning for the marketing department and translate business goals into operational plans, processes, and priorities. • Provide leadership with insights on performance, trends, staffing needs, and operational opportunities. • Lead initiatives to improve efficiency, quality, and collaboration, and build scalable systems, reporting structures, and workflows that support agency growth. Requirements • Must be willing to work in our office located in Saint Charles, IL. • 3+ years of experience in a digital marketing agency • 2+ years of project management or operations experience • Strong understanding of marketing channels and deliverables (paid ads, email, social, SEO, and web) • Excellent organizational, prioritization, and communication skills • Ability to work in a fast-paced environment and manage multiple projects • High attention to detail and strong follow-through • Strong analytical skills and the ability to translate data into actionable insights • Proven ability to collaborate across teams and manage client-facing communication • Demonstrated leadership, problem-solving abilities, and experience guiding teams through challenges • Familiarity with digital marketing tools and platforms (analytics, automation, reporting, task systems) • Aligned with PWI values.
