Role Summary You'll be an integral part of the production team, working closely with the Director of Sales, Project Managers, Technical Directors, and the Creative department to bring our client's vision to life. You'll help turn new business leads into compelling proposals and support every phase of the event's lifecycle from concept design and budgeting to on-site execution and client follow-up. This hybrid role blends logistics, client service, and sales support, offering valuable exposure to senior Producers and mentorship as you develop your skills. Key Responsibilities • Client & Project Support • * Collaborate with the Director of Sales to qualify new leads, develop proposals, and help secure new business opportunities. • Assist Producers in developing proposals, budgets, and timelines for assigned projects. • Manage client and vendor communications for assigned accounts serving as a reliable point of contact, maintaining strong relationships, and contributing to referral and partnership growth. • Support client communications by preparing meeting notes, schedules, and deliverables. • Help gather and organize creative and technical assets (design boards, renderings, layouts). • Maintain project files, vendor records, and version control of all production documents. • Event Logistics & Operations • * Partner with the Creative team to develop design materials such as concept renderings, site and seating plans, and stage or room layouts. • Collaborate and coordinate with Project Managers, Technical Directors, and Operations to support the development of event budgets, timelines, vendor orders, equipment lists, staffing plans, CAD updates, floor plans, and run-of-show documentation. • Assist with on-site production, including installations, rehearsals, live show execution, and event breakdown. • Assist with and contribute to post-event activities including vendor invoice tracking, budget reconciliation, and debrief summaries and lessons learned documentation. • Team Collaboration & Growth • Support senior Producers on larger events while learning all aspects of event production and gradually taking ownership of smaller projects. • Foster strong communication and collaboration across teams: Sales, Creative, Production, Operations, and Finance as well as with external vendors and partners. • Serve as a liaison between internal departments to ensure alignment of project milestones. • Support the overall efficiency of event workflows by anticipating needs and solving problems proactively. • Keep your finger on the pulse of industry trends and best practices, continuously leveling up your game. • Travel, as needed, to support event installations, rehearsals, and on-site execution. Requirements What You Bring to the Table • 3-5 years of experience in event production, hospitality, theater, catering, experiential marketing, or a related live events field. • Exceptionally organized and detail-oriented, with the ability to manage multiple projects and deadlines simultaneously. • Strong written and verbal communication skills; confident interacting with clients, vendors, and internal teams. • Comfortable working across both the creative and operational sides of production from layouts and design to logistics, run-of-show, and on-site execution. • Must be based in the Washington, DC metro area (local candidates only). • Preferred skills include: • * Experience with conferences, agency-side event production, or a production house. • Familiarity with design boards, renderings, site plans, and stage or room layouts. • Sales or business development acumen; comfortable supporting proposals, client meetings, and growth initiatives.
