Description and compensation: Position Available: Bookkeeper/Administrative Assistant 24 hours/week (Three days per week) Summary of Job Description: Under the direction of the Port of Texas City Security Council’s (PTCSC) Security Director, this position is responsible for performing a variety of bookkeeping and accounting duties including processing payroll twice monthly, financial record keeping and transactions including accounts payable, receivable and general ledger. Desired individual will have advanced experience with QuickBooks Desktop, experience working in the nonprofit setting, an outgoing and friendly personality, demonstrated professionalism and tact in communications with a diversity of individuals, strong organizational and time management skills, acute attention to detail and ability to work well with the Security Director, Security Manager and the Board of Directors. This position is based at the Security Council’s office in Texas City, TX. Compensation: $20-25/hour, depending on experience Qualifications: · Experience and proficiency in preparing invoices, issuing checks for bills and employee reimbursements in an accurate and timely manner, ensuring that all expenditures are appropriately categorized. · Proficiency with QuickBooks desktop a must · Nonprofit experience a plus · Associate’s degree (AA/AS) or equivalent in accounting, business or Professional Bookkeeper Certificate; two to five years’ related experience; or equivalent combination of education and experience. · Additional proficiency in Windows operating systems and with Microsoft Office. · Excellent verbal and written communication skills. · Strong organizational, problem-solving, and analytical skills; ability to manage priorities and workflow. · Strong mathematical skills. · Strong interpersonal skills. · Ability to deal effectively with a diversity of individuals at all organizational levels. · Good judgment, with the ability to make timely and sound decisions. · Individual must either possess or be able to obtain a Transportation Worker Identification Credential (TWIC) upon offer of employment. · Be able to pass background and drug screening tests · Confidentiality/Non-Disclosure Agreement required to be signed upon offer of employment. · Be capable of light lifting and assisting with special projects outdoors on occasion. Duties & Responsibilities: · Processes payroll at the close of pay periods (15th and 30th of each month). Processes federal payroll tax deposits and reports in a timely manner. · Prepares invoices, issues checks for bills and employee reimbursements in an accurate and timely manner; ensures that all expenditures are appropriately categorized. · Pays monthly 401K plan payments and reconciles with payroll; pays quarterly workers compensation. · Collects monthly payments from PTCSC members; makes regular deposits to accounts. · Works closely with the Security Director, who is the first point of contact with the Board of Directors; ensures invoice and bill accuracy. · Works with the Council’s accountant to reconcile bank accounts and provide financial reports to PTCSC Security Director and Board of Directors monthly; keeps clear records of all account activity and alerts Security Director to past-due accounts in a timely manner. · Maintains and balances General Ledger · Proactively maintains highly organized filing system; files invoices, payroll paperwork, reimbursements, insurance information and other financial records. · Demonstrates a high level of professionalism in dealing with confidential and sensitive issues. · Assists in the development and implementation of systems and procedures as needed. · Travels within Texas City to PTCSC Officers’ offices, bank and Post Office as necessary. · Assists and gathers information for external audits as requested. · Generate 1099’s and W-2’s · Files quarterly tax reports · Tracks the PTCSC’s fixed assets. · Order supplies and assists with logistics for monthly meetings. · Assist with preparing FEMA grant draw requests. · Assist with special projects assigned. · Performs other duties as assigned by Security Director or Security Manager. About the organization: The Port of Texas City Security Council is a non-profit organization which provides collective security efforts in and near the Port of Texas City and coordinates efforts among 14 member companies and outside federal, state and local agencies to develop and maintain awareness of security threats and improve communications and cooperative strategies to maintain and improve physical security, liaison and outreach and training, education, drills, exercises and other initiatives focused on safety and security.
