Overview This position is responsible for Executive Assistant duties within the vision and values of the Playbook of Plum Creek Farm LLC. Plum Creek Farm LLC is seeking an experienced Executive Assistant to provide high-level administrative support to the Managing Partner. This role focuses on coordinating schedules, preparing correspondence and reports, managing information flow, and ensuring meetings and communications run efficiently. The ideal candidate is detail-oriented, professional, and excels at supporting senior leadership through organized administrative processes. Key Responsibilities Administrative & Executive Support • Manage calendars, schedule meetings, arrange conference calls, and coordinate appointments. • Prepare correspondence, draft emails, and handle information requests. • Organize documents, maintain files, and ensure timely follow-up on routine administrative matters. • Assist with preparing statistical or operational reports using data provided by internal teams. • Receive visitors, route calls, and provide professional front-facing communication when needed. Meeting & Communication Coordination • Prepare agendas, briefing packets, and supporting materials for meetings. • Record and distribute Minutes of Meeting (MoMs) with clear action items. • Coordinate logistics for internal and external meetings, including reserving spaces and confirming attendees. Documentation & Information Handling • Compile, format, and organize information for reports or presentations. • Maintain accurate records, update shared documents, and support basic data-entry tasks. • Track routine deadlines and ensure necessary documentation is prepared on time. Operations & Vendor Coordination • Assist with ordering supplies, managing office inventory, and processing basic vendor communications. • Help coordinate routine service requests, deliveries, and follow-up tasks. • Support administrative elements of scheduling, invoicing, and communication related to Plum Creek's consulting and pretzel business units (as directed). • HR coordination and support • Handle daily cash drawer processes and bank deposits • Provide backup phone support • Produce a bi-weekly team update Clerical Support & Workflow Assistance • Provide clerical support such as filing, copying, scanning, and organizing documents. • Help maintain smooth office operations through consistent administrative processes. • May assist in training or guiding lower-level clerical staff in routine procedures. Physical Requirements Standard office environment; routine computer/phone use; occasional lifting under 50 lbs.
