Financial & Accounting Leadership You will be the backbone of our financial structure, ensuring accuracy and cash flow: Accounting Expertise: Utilize your strong proficiency in QuickBooks Online and QuickBooks Desktop for all data entry (invoicing, POs, inventory, timekeeping). Be prepared to learn our specialized point of sale and ERP system quickly. Cash Flow Management: Take ownership of Accounts Receivable, including the critical task of managing collections on past due accounts professionally, and ensuring timely handling of Accounts Payable. Verification: Lead the process of reconciling multiple bank statements and multiple general ledger accounts on a regular basis. Compliance: Assist management by preparing necessary data for various quarterly and annual tax reporting requirements. 2. Operational & Customer Service Excellence First Impression: Be the welcoming voice and face of our company. Your professionalism will shine as you promptly and efficiently answer incoming phone calls, directing customers to the sales staff or proper personnel. Sales Support: Act as a critical link between administration and sales, and managing the distribution of sales-related emails. HR Support: Confidentially maintain employee records and assist with onboarding logistics. 3. Administrative & Clerical Support Efficiency: Maintain an organized and professional office environment, managing supplies, equipment, and files. Communication: Manage correspondence (mail, email) and prepare, edit, and proofread essential internal reports and documents. Qualifications (What You Bring) Required Skills & Experience High School Diploma or equivalent; associate's degree or higher preferred. Minimum of 3 years of proven experience in a busy administrative or office management role. Essential: Deep proficiency and experience navigating both QuickBooks Online and QuickBooks Desktop. Strong command of Microsoft Office Suite (Word, Excel, Outlook). Exceptional organizational skills and meticulous attention to financial detail. A proven ability to prioritize, multitask, and effectively manage deadlines within a part-time schedule. Excellent verbal and written communication skills, critical for both professional collections and client interaction.
