Job Title: Legal Receptionist / Administrative Assistant Position Summary The Legal Receptionist/Administrative Assistant serves as the primary point of contact for prospective and current clients. This role provides exceptional customer service, manages incoming inquiries, and delivers comprehensive administrative support to ensure smooth daily operations within the firm. Key Responsibilities include but are not limited to the following: Client & Front Desk Support- • Answer and direct calls, emails, and in-person inquiries. • Greet clients and conduct brief intakes for potential new cases. • Handle incoming/outgoing mail, packages, scanning, faxing, and document labeling. Attorney & Case Support- • Create, organize, and maintain physical and electronic case files. • Enter and update case information in case management software. • Monitor calendars and assist with scheduling. • Maintain communication with clients regarding case updates. Administrative Support- • Perform copying, filing, data entry, and general office tasks. • Schedule appointments, meetings, and conference rooms. • Assist with attorney travel arrangements. • Support team members with various administrative needs. • Maintain confidentiality of legal documents and records. • Contribute to process improvements and complete additional tasks as assigned. Required Skills & Abilities: • Strong organizational skills and exceptional attention to detail. • Excellent customer service and interpersonal communication abilities. • Effective time management skills with a demonstrated ability to meet deadlines. • Strong analytical, problem-solving, and decision-making capabilities. • Ability to work efficiently in a fast-paced and occasionally high-pressure environment. • Excellent verbal and written communication skills. • Proficiency with computers and office software; familiarity with legal terminology preferred.
