Job Summary We are seeking an energetic and detail-oriented Receptionist/Administrative Assistant to join our dynamic team. This vital role combines front desk responsibilities with comprehensive administrative support, ensuring smooth daily operations and exceptional customer service. The ideal candidate will be proactive, highly organized, and possess excellent communication skills, ready to handle multiple tasks efficiently while creating a welcoming environment for clients and visitors alike. Duties • Greet visitors, clients, and vendors warmly, providing outstanding customer service and maintaining a professional front desk presence • Manage multi-line phone systems, screen calls, and direct inquiries to appropriate team members with excellent phone etiquette • Handle data entry, filing, and document proofreading to ensure accuracy and organization of office records • Schedule appointments, manage calendars, and coordinate meetings using Google Workspace and Microsoft Office tools • Assist with bookkeeping tasks using QuickBooks or similar accounting software, including invoicing and expense tracking • Support office management by maintaining supplies inventory, overseeing mail distribution, and ensuring the office environment is organized and efficient • Provide administrative support such as typing correspondence, preparing reports, and supporting personal assistant duties as needed Qualifications • Proven experience in office administration or clerical roles with strong organizational skills and attention to detail • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications • Familiarity with multi-line phone systems and professional phone etiquette • Bilingual abilities are highly desirable to serve diverse client needs effectively • Experience with QuickBooks or bookkeeping is a plus; knowledge of data entry and filing procedures is essential • Strong typing skills combined with excellent proofreading abilities for accurate document preparation • Demonstrated ability to manage time effectively while handling multiple priorities in a fast-paced environment • Previous experience as a dental or medical receptionist or personal assistant is advantageous but not required Join us in creating a vibrant workplace where your organizational talents shine!
