A leading global alternative asset management firm with $20B+ AUM is seeking a highly organized, forward-thinking Project Scheduler & Resource Manager to join its growing Project Management Office (PMO). The firm's headquarters is located in Evanston, IL, just north of Chicago, with a strong culture built on curiosity, collaboration, and high performance. This role is pivotal in shaping how the organization plans, prioritizes, and delivers cross-functional initiatives. You'll oversee enterprise-wide resource scheduling, support strategic capacity planning, and help improve visibility and efficiency across IT and business operations. What You'll Do Resource Scheduling & Allocation • Maintain a centralized view of resource assignments across IT and business projects. • Partner with project managers and functional leads to align resources based on availability, skillsets, and business priorities. • Track roll-on/roll-off dates and escalate upcoming conflicts or overallocations. • Support allocation between BAU and project development activities. Forecasting & Capacity Planning • Build and maintain capacity and demand models using pipeline data, historical performance, and business inputs. • Identify resourcing gaps and recommend solutions such as reallocation or contractor support. • Support governance forums with insights on resource availability and project prioritization. Process, Tools & Standards • Help implement and improve enterprise scheduling and resource management tools (e.g., Smartsheet, MS Project, Power BI). • Promote adoption of standard resource planning processes and ensure timely, accurate updates from project teams. Reporting & Communication • Produce dashboards and analytics on resource utilization, capacity trends, and forecast accuracy. • Facilitate regular resource review meetings with key stakeholders. • Escalate constraints and collaborate with leaders on resolution strategies. What We're Looking For Required Qualifications • 5+ years of experience in resource planning, workforce management, or project scheduling. • Experience supporting or working within a PMO environment. • Familiarity with Agile, Waterfall, or hybrid delivery methods. • Proficiency with Excel and resource planning/reporting tools (Power BI, Smartsheet, etc.). • Strong analytical, communication, and stakeholder-management skills. Preferred • Experience in a technology-driven, professional services, or financial services organization. • Familiarity with PPM tools such as MS Project Online, Planview, or Smartsheet. • Understanding of IT and business operations across middle and back-office functions.
