Job Title: Administrative Assistant Reports To: Executive Director Position Type: Full-Time Employee Compensation: $25 per hour Location: Remote Position Summary The Administrative Assistant will provide comprehensive remote administrative support to the Executive Director of the American Society for Deaf Children (ASDC). This role is crucial in ensuring the smooth operation of the organization by managing schedules, tracking memberships, communications, and various administrative tasks. The Administrative Assistant will help facilitate the Executive Director's ability to lead the organization effectively. Key Responsibilities Administrative Support: • Manage staff calendars, including scheduling meetings, appointments, and travel arrangements. • Support the management of memberships and maintain an effective system for communication with families. • Prepare and edit correspondence, communications, presentations, and other documents. • Handle incoming and outgoing communications, including emails, phone calls, and mail. • Maintain and update records, databases, and files. • Enter and process invoices accurately, and assist with Accounts Payable (AP) and Accounts Receivable (AR) functions Meeting Coordination: • Organize and coordinate meetings, including scheduling interpreters, preparing agendas, taking minutes, and following up on action items. • Assist in the preparation of materials for Board meetings and other executive-level gatherings. Project Assistance: • Support the Executive Director in various projects, including research, data collection, and report preparation. • Assist in the development and implementation of organizational initiatives and programs. Communication: • Serve as a liaison between the Executive Director and staff, Board members, donors, and external partners. • Facilitate effective communication within the Executive Leadership team and across the organization. Qualifications • Proven experience as an administrative assistant or in a similar role, preferably in a non-profit or advocacy setting. • Strong organizational and time-management skills, with the ability to prioritize tasks and meet deadlines. • Excellent written and verbal communication skills. • Proficiency in Microsoft Office Suite and other relevant software. • Ability to maintain confidentiality and handle sensitive information. • Familiarity with Deaf Culture and American Sign Language (ASL). • Knowledge of basic accounting processes, including Accounts Payable and Accounts Receivable, is strongly preferred. • Subject Matter Expertise (SME) or demonstrated knowledge of deafness, Deaf or Hard of Hearing culture, or accessibility considerations. • Experience working with executive leadership and managing complex schedules is preferred. • Ability to work independently and as part of a team. Physical Requirements • Prolonged periods of sitting at a desk and working on a computer. • Occasional travel to meetings, conferences, and events as required. Additional Information This is a full-time employee position that plays a vital role in ensuring the efficient operation of ASDC. The Administrative Assistant will work closely with the Executive Director to facilitate the organization's mission and goals.
