About the Position NextGen Management is seeking a highly organized and detail-oriented Administrative CAM Assistant to support our Community Association Managers (CAMs) in the daily operations of the communities we serve. This role is essential to ensuring the smooth, efficient, and professional functioning of association management tasks, resident communication, and administrative processes. Responsibilities • Assist CAMs with day-to-day administrative tasks for assigned communities. • Monitor and maintain email inboxes; respond or route inquiries promptly and professionally. • Coordinate scheduling of vendor appointments, and property inspections. • Maintain organized records, community files, and association documents on portals. • Prepare work orders, track progress, and follow up on completion with vendors and residents. • Assist with obtaining proposals and ensuring timely follow-up for pending items. • Update management software systems with accurate and current information. • Process architectural review applications and communicate approvals/denials. • Provide customer service to residents via phone, email, and in-person interactions. • Support CAMs with annual membership and Board meetings, including document preparation and onsite assistance. • Perform additional administrative tasks as assigned to support the management team. Qualifications • Prior experience in property management, HOA/condominium administration, or related field preferred. • Strong organizational and multitasking skills with the ability to manage multiple priorities. • Excellent written and verbal communication abilities. • Proficiency in Microsoft Office Suite (Word, Excel, Outlook). • Ability to learn community management software (CINC). • Strong attention to detail and ability to follow established processes. • Professional demeanor and customer service mindset. • Ability to work independently and as part of a team in a fast-paced environment.
