Job Summary We are seeking a dynamic and highly organized Executive Assistant to provide comprehensive support to senior leadership and ensure the smooth operation of daily office activities. This role is vital in maintaining efficient workflows, managing schedules, coordinating projects, and facilitating communication across departments. The ideal candidate will demonstrate exceptional organizational skills, proactive problem-solving, and a positive attitude to help drive the organization’s success forward. Duties • Manage complex calendars, schedule meetings, and coordinate appointments using Google Workspace tools. • Prepare, proofread, and transcribe documents, reports, and correspondence with precision and attention to detail. • Organize and coordinate events, meetings, and travel arrangements to ensure seamless execution. • Handle incoming calls with professionalism using multi-line phone systems and maintain excellent phone etiquette. • Support bookkeeping and financial tasks. • Oversee office management duties including filing, data entry, supply ordering, and front desk responsibilities to maintain an organized workspace. • Assist with project coordination by tracking deadlines, preparing agendas, taking minutes, and following up on action items. • Utilize Microsoft Office Suite (Word, Excel, PowerPoint) to create presentations and reports that meet high standards of quality. • Manage confidential information discreetly while providing executive administrative support tailored to leadership needs. • Facilitate communication between departments and external partners to ensure clarity and timely responses. Qualifications • Proven experience as an executive assistant (2+ years) or in a similar administrative role with a strong background in office management. • Demonstrated proficiency with Microsoft Office (Word, Excel, PowerPoint), Google Workspace applications, and data entry systems. • Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment. • Strong typing skills combined with transcription experience for accurate document processing. • Exceptional communication skills including phone etiquette and customer service orientation. • Experience coordinating events or projects from inception through completion is highly desirable. • Ability to handle multiple responsibilities simultaneously while maintaining attention to detail. • Knowledge of office equipment including multi-line phone systems, fax machines, scanners, and Docusign for electronic signatures.
