My CPA Coach is a fast-growing, remote CPA firm specializing in proactive tax strategy and planning to help business owners keep more of what they earn. We’re building an elite, high-performance team - and we need a Chief Operating Officer who can own the operating system of the firm today and improve it as we scale. What You’ll Do You will be the operational heartbeat of My CPA Coach. Your job is to turn vision into execution, eliminate bottlenecks, and build a company that runs smoothly without the CEO being the default firefighter or problem solver. • Oversee and improve day-to-day operations. Fix issues in workflows, systems, deadlines, handoffs, and quality control. • Lead weekly leadership and operations meetings. Manage service, sales, and administrative teams while ensuring priorities are clear, owners are assigned, and deadlines are met. • Ensure client work is delivered smoothly and on time. Keep tax planning, implementations, bookkeeping, and tax prep moving without delays or confusion. • Build and enforce SOPs and repeatable processes. Document how we do things and ensure every department follows the same standard. • Plan staffing needs in advance. Track workload vs. capacity, recommend hires before the team is stretched, and strengthen onboarding systems. • Own training and ramp-up for new hires. Create and run onboarding, training, and shadowing plans for new service, sales, and future team members so they become productive quickly. • Support sales and marketing execution. Keep lead flow, follow-up, and campaign delivery organized and consistent. • Monitor spending, billing, and collections. Watch for wasted costs, breakdowns in billing/collections, or operational risks. • Handle major client escalations and prevent repeat issues. Resolve high-risk situations fast and fix root causes. What Success Looks Like In your first 3–6 months: • Client delivery is noticeably more organized, proactive, and on time • Weekly leadership rhythms and follow-through are running consistently • Core SOPs are documented, tightened, and being followed • KPI dashboards are live and reviewed weekly • The CEO has meaningful time freed up from day-to-day firefighting In your first 6–12 months: • Client delivery runs smoothly across all service lines with minimal escalations • SOPs and training systems are fully scalable for growth • Leaders consistently own KPIs and drive performance without needing reminders • The firm operates like a high-performance, championship-caliber organization Who You Are You’re a systems-first leader who loves building structure, holding standards, and scaling teams. We’re looking for a builder, not a maintainer. Must-haves: • 5+ years in operations leadership (service-based business preferred) • Proven track record building SOPs, KPIs, and scalable workflows • Strong people leader who enforces accountability without drama • Highly proactive - sees problems early, proposes fixes, executes fast • Comfortable partnering with sales and marketing leaders on performance • Tech-savvy and confident improving tools/workflows in a remote environment • High integrity, high standards, and aligned with A-player culture Bonus (not required): • Experience in tax, accounting, bookkeeping, or similar professional services Schedule & Expectations • Full-time, remote • Core availability during business hours (approx. 9am–6pm ET) • High visibility and responsiveness—this role leads daily execution Compensation & Growth • Competitive salary based on experience • Performance bonus tied to company KPIs Job Type: Full-time Pay: $150,000.00 - $175,000.00 per year Benefits: • 401(k) • 401(k) matching • Dental insurance • Health insurance • Paid time off • Vision insurance Work Location: Remote
