In-office role (In-office role, five days a week; on-site parking available) Reports to: Contracts Manager Department: Contracts FLSA Status: Non-Exempt Compensation: $25.00 -$32.00 Bonus: The role includes a bonus component based on down payment collections. The candidate will have the opportunity to earn a monthly bonus tied to the total down payments collected. Position Overview We are seeking a detail-oriented and organized Contracts Specialist to join our Fairfax office. This role manages contract presentations, supports client onboarding, tracks and collects payments, monitors retention reports, and collaborates with partners, attorneys, and internal teams to ensure contracts are executed accurately and efficiently. This position offers exposure to legal operations, business processes, and financial management principles, providing opportunities for professional growth in a dynamic law firm environment This is a full-time, in-office position based in Fairfax, VA, with the expectation of on-site presence five days a week, Monday through Friday. Key Responsibilities: • Present Contracts to Clients: Deliver clear, confident presentations in person or remotely, ensuring clients fully understand contract scope, terms, and obligations. • Respond to Client Inquiries: Address questions via email, phone, or live meetings; provide accurate, timely answers on all contract-related matters. • Follow-Up on Pending Contracts: Proactively reach out to clients who have not signed contracts to drive timely closures while maintaining a professional, service-oriented tone. • Collect and Record Payments: Handle down payments upon contract execution, ensuring all financial details are accurately documented and shared with the finance team. • Collaborate with Attorneys and Internal Teams: Work closely with consulting attorneys, partners, and cross-functional teams (Finance, Operations, Legal Support, Client Relations) to understand contract context and tailor communications accordingly. • Support Attorneys’ Requests: Respond promptly and accurately to attorney inquiries, ensuring contract details align with firm policies and client expectations. • Maintain Meticulous Documentation: Record all client communications, follow-ups, and contract updates consistently within the firm’s system. • Monitor Contracts and Retention Reports: Track outstanding actions, follow-up needs, and identify opportunities for process improvement. • Seek Guidance and Demonstrate Accountability: Consult with the manager when clarification or escalation is needed, showing sound judgment and responsibility. • Continuous Learning and Adaptation: Develop knowledge of legal terminology, processes, and client expectations to enhance performance and support the firm’s objectives.
