Job Summary We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. The ideal candidate will possess strong office management skills, excellent communication abilities, and proficiency in various computer applications. This role involves managing front desk responsibilities, handling correspondence, and providing exceptional customer service to ensure smooth daily operations. Bilingual skills and experience with medical or dental reception are a plus, along with familiarity with QuickBooks and bookkeeping. The position offers an engaging environment where organizational skills and professionalism are highly valued. Responsibilities • Manage front desk duties including greeting visitors and answering multi-line phone systems with professional phone etiquette • Handle scheduling, calendar management, and appointment setting using Google Workspace and Microsoft Office tools • Perform data entry, filing, and proofreading to maintain accurate records and documentation • Provide customer support via phone, email, and in-person interactions, ensuring excellent customer service standards • Assist with office management tasks such as organizing supplies, managing correspondence, and supporting team members • Utilize QuickBooks for basic bookkeeping tasks and financial record keeping • Support clerical functions including typing reports, managing files, and maintaining office organization • Coordinate with team members on administrative projects and ensure timely completion of tasks • Support personal assistant duties as needed, including calendar management and task prioritization Requirements • Proven experience in office administration or clerical roles; office experience preferred • Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills • Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment • Bilingual abilities are highly desirable to assist diverse clientele effectively • Experience with QuickBooks, bookkeeping, or medical/dental receptionist roles is a plus • Exceptional communication skills including phone etiquette and customer service experience • Ability to manage time effectively and prioritize tasks independently • Strong proofreading skills and attention to detail in all written communications • Previous experience in office management or administrative support roles is preferred This position offers an opportunity to be an integral part of a professional team dedicated to providing outstanding administrative support.
