Summary: The Benefits Specialist is a member of the HR team with a focus on health, welfare, and retirement benefits. Incumbent will also contribute to a variety of HR functions including recruitment, onboarding/orientation, maintenance of quality data in HR systems, and offboarding. S/he will coordinate closely with the Associate Payroll Manager on the Finance team. Essential responsibilities include, but are not limited to: Benefits management and administration (70%) Supports and promotes employee wellness initiatives, delivering resources and presentations to drive engagement and participation. Tracks and administers leave of absence programs including FMLA, STD, LTD, and Workers Compensation. Advises employees on their options, processes all associated paperwork, and manages leave calendars. Manages Workers Compensation and disability claims, coordinating with employees, vendors, and payroll to ensure timely resolution. Updates employee benefits election changes on benefits vendor websites Coordinate all annual open enrollment activities, including employee q&a sessions, broker communication, communication with vendors, coordinate of HRIS updates. · Reconciles and processes insurance benefit invoices for payment processing. · Processes unemployment claims. · Processes worker’s compensation claims. · Tracks and maintains employee reimbursement benefits program including fitness reimbursement, professional development reimbursement. · Assists with processing of quarterly HSA employer contributions. Recruitment/onboarding/orientation (15%) · Assist with the recruitment process including posting job ads, scheduling interviews, background checks. · Submits appropriate forms on Cognito and prepares offer letters · Ensures compliance during new hire and annual process, including initiating background checks and conducting I-9 verifications. · Assists with preparing onboarding material for new hires, and setting up orientation schedules. Human Resources Information Systems and records management (10%) · Establishes and maintains HR folder · Also includes MSO relationships · Enters new employee information into the HRIS system. · Responsible for HRIS administration including reconciling employee timecards (historical edits, adjustments including pay codes, benefit time accruals, schedules, etc.) · Assist with the compliance and reporting requirements of government mandated reporting. Records management and other duties as assigned (5%) Assists with maintaining HR personnel files and I-9 record keeping in compliance with federal laws and record retention policies. Files other HR documents into personnel files. Ensures commonly used Human Resource and payroll forms are up to date as directed by the HR Director. Complete special HR projects in teams or independently. Other duties as assigned. Performance Indicators 1) Recruitment a)Timely posting of positions and responsiveness to hiring manager needs. 2)Contracting Proper filing of employment contracts, offer letters following record retention guidelines 3) Onboarding At the end of orientation for all new employees, ensure that all onboarding tasks/checklists are duly completed. 4)Offboarding Ensure off-boarding/tasks checklists are duly completed, and employee files are properly archived. 5)HR Systems Strengthening Demonstrated contribution in implementation of HR systems improvement Feedback from internal clients on improvement of quality of HR service delivery 6) Benefits Administration All benefits are properly built into the ADP HRIS system Other HR staff members are cross trained on ADP HRIS as a back up. 7) HR General All HR files current, complete and up to date Customer queries are responded to in a timely manner Office supplies and other requisitions are fulfilled in a timely manner. Bachelor’s degree in Human Resources, Business Administration, or related field required; Master’s degree preferred. Associates degree with additional years of experience may be considered. At least 3-5 years of benefits administration experience requested; 5+ years and experience in non-profit/international settings preferred. Proficiency in benefits platforms (Paylocity, HPI, Cigna, Ascensus or similar), Microsoft Office and HRIS required. Knowledge of federal benefit regulations (ERISA, ACA, HIPPA, COBRA) required. Strong writing and oral communication skills in English; professional proficiency in French, Portuguese, and/or Spanish preferred. Exceptional communication and customer service skills to explain benefits to employees at all levels and address questions effectively. Maine: range minimum $48,000-$60,000 USD $54,000-$66,000 USD for Silver Spring, MD; ranges vary based on geography of the incumbent Must reside in one of our registered states: ME, MD, FL, CO, DC, MA, PA, TX, UT, VT
