Duties • Manage and maintain complex calendars using tools like Google Workspace, ensuring all appointments, meetings, and deadlines are accurately scheduled and prioritized. • Provide executive administrative support by preparing reports, drafting correspondence, and proofreading quotes/ documents. • Handle phone etiquette professionally across multi-line phone systems, screening calls, taking messages, and directing inquiries appropriately. • Oversee office management tasks such as filing, data entry, bookkeeping using QuickBooks or similar software, and maintaining organized records for easy retrieval. • Assist with project coordination by tracking deadlines, preparing agendas, taking minutes during meetings, scheduling shipments and following up on action items. • Support front desk operations by greeting visitors warmly, managing incoming mail and deliveries, and ensuring a welcoming office environment. Skills • Exceptional organizational skills with the ability to multitask efficiently in a busy office setting. • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications for document creation and collaboration. • Strong typing skills combined with transcription experience to produce accurate records swiftly. • Knowledge of office management practices including filing systems, data entry procedures, and clerical workflows. • Experience with bookkeeping software such as QuickBooks for basic financial record-keeping. • Excellent communication skills—both verbal and written—with professional phone etiquette. • Demonstrated ability to handle confidential information discreetly while providing high-level executive support. • Familiarity with project coordination tools and techniques to ensure timely completion of tasks. • Attention to detail in proofreading documents for accuracy and clarity. • Ability to adapt quickly to changing priorities while maintaining a positive attitude in a fast-paced environment.
