Job Title: Administrative & Dog Operations Coordinator Classification: Work with the Executive Director, Assistant Executive Director, along with the staff, volunteers and community,. This is a part-time role, 4 days, 28 hours per week, including Saturdays. This is not a remote or telecommute position. Must be able (at times) to work irregular hours and holidays. Compensation: $27/hour Overview: Lily’s Legacy Senior Dog Sanctuary is seeking a compassionate, organized, and detail-oriented Administrative & Dog Operations Coordinator to support daily operations at our sanctuary. This role blends hands-on dog care with administrative and volunteer coordination responsibilities. The ideal candidate thrives in a dynamic, animal-focused environment and is capable of managing their time and tasks independently while also collaborating with a small, mission-driven team. Key Responsibilities: • Morning and/or evening feeding routines, dog walks, and administering medications. • Work alongside Lily’s Vet Tech and Enrichment & Training Coordinator, as necessary, to coordinate dogs’ medical and behavioral care. • Support intake processes for new dogs, including preparing supplies and organizing information from the team. • Support processing adoption and foster applications, including conducting home visits and following up with vet and personal references. • Manage and update weekly volunteer schedules for cuddlers and walkers. • Field incoming communication via phone and email and respond appropriately to perspective donors, fosters, adopters and volunteers. • Support communications and scheduling for volunteer tours, onboarding, and training. • Coordinate vet appointments, transportation and follow-up communications when needed. • Maintain sanctuary documents, donor records, and administrative logs (Google Drive, Sheets, Docs). • Help keep the sanctuary space clean and organized, restocking supplies as needed. • Assist with donation records, thank-you notes, and seasonal campaigns when applicable. • Help manage dog care supplies and restocking (food, meds, treats, beds, cleaning supplies, etc.). • Support event logistics, community outreach prep, and sanctuary updates as needed. Skills & Experience: • Comfortable handling large senior dogs with various medical needs. • Administrative experience in a veterinary environment is a plus. • Experience working in a nonprofit, rescue, or administrative setting is ideal but not required. • Strong time management skills and ability to take initiative when unsupervised. • Basic comfort with digital tools (email, Google Docs, Google Sheets, shared calendars). • Collaborative, grounded, and calm in high-emotion environments (e.g., conversations about end-of-life care or surrender). • Able to lift 40+ pounds and work indoors and outdoors in all seasons. • This is a part-time position, 4 days and 28 hours per week. Saturday is a required day with Monday, Tuesday, Friday and Saturday as the preferred schedule. About Lily’s Legacy Senior Dog Sanctuary: Lily's Legacy Senior Dog Sanctuary (“LLSDS”) is a primarily volunteer-run nonprofit organization based in Petaluma, California. Our mission is to provide a safe and loving home for large breed senior dogs (50+ pounds, 7 years or older) who have been displaced from their homes and/or abandoned for any reason, until they are adopted, placed with a foster guardian, or remain as permanent residents at the Sanctuary. Working Conditions: Rural, pastoral setting, on acreage in otherwise residential area. Collaborative working environment in shared office space. Job requires daily in person, telephone, and written communication with a diverse and sometimes changing LLSDS team, partnering agencies and organizations, and the public. Requires walking and outdoor tasks, sometimes in inclement weather. Requires some driving to local or regional events, meetings, or appointments. Requires bending, lifting, squatting, and sitting/rising, consistent with responsible and compassionate animal care and management of the sanctuary environment. LLSDS operates in a manner that is by intention professional, prudent, respectful, and educated. Despite this standard, when working with and serving animals and the public, and leading a team of volunteers and staff, unforeseen challenges and hazards can arise, and this position requires a person able to accept and meet these challenges, personally and in concert with others. These challenges may include, but not be limited to, the management of unruly, or dangerous animals in a humane manner, communication with disgruntled or hostile members of the public, grief, loss and emotional strain, fast-paced changing/evolving expectations and priorities, a workload that at times can be stressful, canine emergency medical events, and exposure to canine parasites and infectious diseases, some of which (though rarely) are transmissible to humans.
