Job description Company Overview: Let's Get Moving! is a Senior and Specialty Move Management service in Nashville, TN that assists in the transition of clients from home to senior living or downsizing to a smaller home. The Operations Coordinator / Lead Project Manager will work with our team to help clients design an efficient layout of furniture for their new space, engage in sorting, packing and managing the moving process for clients who are later in life and don't want the hassle of managing their own move. Let's Get Moving! was founded in 2005 and has a strong history in the community as a leader in senior move management and is continuing to grow! Job Overview: The Let’s Get Moving! Operations Coordinator oversees and facilitates cohesive support and coordination to all Sales, Administrative Assistant, Human Resources, the General Manager/Owner and all other employees, as well as maintaining communication and relationships with the clients of LGM during their job. The intent of this position is to create a cohesive and seamless flow in the daily operations and fulfillment of services to clients of LGM and also be a liaison to the employees of LGM for daily operational needs and liaison of service fulfillment and client satisfaction. The primary responsibilities of the LGM Operations Coordinator are: · Receive and facilitate a smooth handoff of client needs from Sales. Ensure that client contact is initiated as soon as Sales converts the client to “WON” and continue the checklist of operational “To Do’s” to satisfy the services LGM has agreed to provide said client. · Coordinate and maintain all third party vendor relationships and services for clients, including, but not limited to: o Mover reservations and detail coordination o Dumpster services o Donator services o Trash hauling services o Handyman services (i.e. TV mounting, curtain hanging, washer/dryer install/ uninstall, furniture assembly, etc) o Estate sale date availability and reservation (as approved by Sales and GM/owner) o Other third party services as directed by Sales and GM/owner · Track and update software job log details and checklists to keep each client “lifecycle” current and on schedule for reference by all employees. · Communicate directly with clients as a primary liaison for updates on services, dates and questions and managing expectations for job budget supplement increases, etc. · Schedule client shifts as directed by the client, Sales, Logistics Coordinator, Owner. Fulfill shift requests by LGM employees. · Meeting monthly revenue, expense, and profitability projections through time and talent utilization, damage minimalization, efficient use of resources, and quality for move management and moving. · Identify operational needs and manage creative solutions. · Implementing plans and processes to improve productivity and profitability. · Assist the Office Administrator with various tasks such as invoicing, time sheet reports, payroll reports and any other tasks that are required to maintain the daily flow of operations as a way of rectifying correct information on each job. Ensuring that all Project Managers are turning in and entering correct data to ensure the proper invoicing in a timely manner. · Complete all client profiles in company software and other relevant office software for both invoicing and record-keeping purposes. All data will be current and complete at the time of service completion. · Assist with employee recruitment, hiring, training, supervision and retention efforts with Human Resources Manager as needed to fill available shifts. · Provide field coaching and corrective training to staff as needed in conjunction with Human Resources Manager. · Work to prevent and resolve customer service issues, complaints in a timely manner. · Supervise all client projects throughout the week. Act as a “home base” liaison for Project Manager questions, concerns or schedule evolvements throughout the week. · Assist Office Administrator/Logistics Coordinator in calculating Bi-weekly Timesheets for Hourly and Salary Employees and submit for payroll review. o Calculate time logged in company software program. o Adjust for any Paid Time Off (PTO), Holiday pay, Bonus received and Mileage Reimbursement o Prepare monthly Commission Report for Sales Employee(s) · Keep Track of Supply Inventories o Purchase office supplies and postage as needed o Purchase warehouse supplies as needed o Place orders for moving supplies and put away orders upon delivery · Ensure vehicle maintenance, registration and insurance are kept up to date · Pick up mail each week, or as directed by Owner · Assist in the field as needed/required to train new employees, spot train current employees, or fill gaps in the schedule created by call-outs or any other circumstance. · Send weekly email newsletter/ Friday Flash to LGM employees. (Also fulfilled by Logistics/Scheduling Coordinator) · Release employee schedules at the end of each week and update the schedule and pertinent employees throughout the week. (Also fulfilled by Logistics/Scheduling Coordinator) · Will be responsible for several direct reports including, but not limited to, Scheduler, Logistics Coordinator, Sales team, Human Resources Director, IT director, Warehouse Manager, Project Managers and Teammates. · Other duties as assigned to help facilitate the operations of LGM Minimum qualifications and competencies: · A minimum of three years of responsible leadership experiences in management or supervisory positions. · Experience in the moving industry and/or move management industry preferred · Experience in senior living or related industry preferred. · Ability to consistently manage numerous high priority projects at the same time through multitasking and time management. · Ability to present a professional image to clients, management, staff and outside contacts. · Exceptional customer service and interpersonal skills. · Ability to work independently and collaboratively as a team member and without daily supervision of task management. · Flexible and adaptable to new program growth and ongoing change · Working knowledge of MS Word, Excel, PowerPoint, and CRM systems · Able to learn new technology systems. · Performance and project management · Staff recruiting and hiring and management. · Communication Proficiency · Complex Problem Analysis, Problem solving, and decision making ability. · Strategic thinking and planning and process improvement Ability to lead change management and write new policy and process for team. Pet dander present in some homes. The Operations Coordinator/ Lead Project Manager position is considered Full-Time employment (FTE). Rare weekends or evenings may be required for long projects, however, most tasks are accomplished during normal business hours Monday to Friday. Bonus plan (Profit-share Plan) and PTO are included in compensation and to be discussed in the interview process.
