Job Title: Bilingual Virtual Care & Operations Coordinator (Remote – Latin America) Company: LeanDreams Weight Management About LeanDreams LeanDreams is a virtual medical practice focused on ethical, patient‑first, sustainable weight loss and long‑term weight management. We combine medical expertise, holistic approaches, behavioral change, and—when appropriate—prescription medications. Our goal is to solve the root causes of weight issues, deliver world‑class patient experiences, and build long‑term trust, not quick fixes. We are looking for a bilingual (English–Spanish) Virtual Care & Operations Coordinator to become the backbone of our daily operations and patient experience. This is a full‑time, remote role based in Latin America, reporting directly to the founder/CEO. Role Overview You will coordinate the full patient journey: onboarding, scheduling, check‑ins, answering questions, resolving operational issues (medications, shipping, portals), and supporting light marketing and referral activities. You must be highly organized, compassionate, comfortable with technology, and able to work in a fast‑moving startup environment. Key Responsibilities Patient Experience & Clinical Coordination • Onboard new patients, guide them through initial setup (forms, portal, expectations), and answer early questions. • Conduct weekly check‑ins with active patients via portal, text, or email to ensure questions are answered and patients feel supported. • Schedule and confirm medical provider and coaching sessions; send reminders and follow‑ups to reduce no‑shows. • Help patients navigate medication and pharmacy issues, shipping delays, and other logistical problems, escalating to the clinical team when needed. • Support patient renewals and retention with warm, timely, empathetic communication. Virtual Assistant & Administrative Support • Manage calendars for the founder and clinical/coaching team; keep schedules organized and up to date. • Triage incoming messages (email, text, portal, phone) and respond to routine questions; route complex issues to the right team member. • Keep patient records, notes, and status updated in our systems (EHR/Healthie, CRM, spreadsheets). • Generate simple reports (active patients, renewals, no‑shows, basic revenue/collection reports) on a weekly and monthly basis. • Support basic operational tasks such as documents, forms, follow‑ups, and light bookkeeping‑related admin. Referral, Backend Subscription, and Outreach Support • Present and process our patient referral program (helping existing patients invite family and friends into LeanDreams). • Offer our backend subscription/maintenance package to patients who are stopping the medication portion of the program or graduating, using provided scripts. • Track who was offered subscriptions, who accepted, and any feedback or objections. • Assist with light marketing and relationship‑building outreach (primarily digital) to doctors’, dentists’, and other health offices: sending emails, calls, and occasionally coordinating materials or introductions. • Collect and share feedback from patients and partners to help improve LeanDreams’ services and processes. Key Performance Indicators (KPIs) Patient Experience & Clinical Coordination • At least 95% of active patients receive and have documented weekly check‑ins. • New patients are fully onboarded within 2 business days of enrollment. • No‑show or late‑cancellation rate for scheduled sessions is kept at or below 10% per month. • At least 95% of operational issues (medication, shipping, tech) are resolved or properly escalated within 1 business day. Virtual Assistant & Administrative • At least 95% of patient emails, texts, and portal messages are answered within 24 business hours. • At least 98% of assigned administrative and scheduling tasks are completed on time. • Patient records and tracking sheets are maintained with 100% accuracy on regular audits. Referral, Backend Subscription, and Outreach • At least 90% of patients who end or pause the medication portion of the program are presented with a backend maintenance/subscription offer. • A minimum of 3 patient‑initiated referrals are documented per month (with your support, reminders, and follow‑up). • At least 5 outreach “touches” (emails, calls, or scheduled conversations) with external health offices or community partners per month. • At least 1 actionable suggestion per quarter based on patient or partner feedback. Requirements • Residing in Latin America and able to work full‑time on U.S. Central Time (or similar) hours. • Fluent in English and Spanish (spoken and written); able to communicate clearly, warmly, and professionally in both. • 1+ year of experience in a healthcare or medical setting (e.g., medical assistant, clinic receptionist, patient care coordinator, telehealth support, healthcare call center, or similar). • Strong empathy and “bedside manner”; comfortable supporting people who struggle with obesity and weight‑related health issues. • High attention to detail, strong organization, and reliability with follow‑through. • Comfortable with technology: scheduling tools, EMR/EHR or patient portals, spreadsheets, email, and messaging apps. • Ability to work in a startup environment: flexible, proactive, resourceful, and calm under occasional pressure. Nice to Have • Experience with U.S. healthcare, telehealth, or weight‑management programs. • Experience offering or managing subscriptions or memberships. • Prior remote work experience. Compensation & Details • Full‑time, remote position (40 hours per week). • Pay range: USD $7–$9 per hour (approximately $1,210–$1,560 per month at 40 hours/week), depending on experience and skills. • Direct, long‑term relationship with LeanDreams: you work directly with the founder and clinical team, not through an agency. • Opportunities for growth in responsibility, compensation, and title as LeanDreams scales.
