We are a growing law firm seeking a detail-oriented and trustworthy Office Administrator & Financial Director to manage our daily financial operations and support general administrative functions. This role is essential to the smooth functioning of our practice and will serve as a key liaison between firm leadership, employees, and external service providers. Key Responsibilities Financial / Bookkeeping Duties • Reconcile firm operating and trust (IOLTA) accounts regularly • Track attorney draws, client payments, and disbursements • Maintain and organize financial records in accounting software (QuickBooks) • Monitor expenses, process invoices, and handle reimbursements • Assist with budget planning Administrative & Operational Duties • Serve as the primary point of contact with payroll provider, benefits administrator, and insurance companies • Coordinate onboarding/offboarding of employees and contractors • Maintain employee records, PTO tracking, and benefits documentation • Manage office vendors and subscriptions (e.g., IT, copier, legal research tools) • Support compliance with firm policies and applicable employment regulations • Assist with scheduling, internal communication, and general office support Qualifications • Prior experience in a law firm or professional services office preferred but not required • Proficiency with QuickBooks or comparable accounting software required • Proficiency with excel spreadsheets required • Strong organizational and communication skills • High attention to detail, with the ability to handle sensitive information confidentially • Comfortable working independently and multitasking
