Office Manager About the Role We are seeking a highly organized, proactive, and leadership-driven Office Manager to ensure smooth daily operations. This position involves overseeing administrative functions, supporting project teams, and coordinating with field staff specializing in masonry services. This role acts as a liaison between the office, field, customers, and vendors. We are looking for someone confident in decision-making, excellent in communication, able to troubleshoot challenges on the spot, and eager to improve systems and processes within the company. Key Responsibilities - Oversee daily office operations, including ordering and maintaining supplies for office, break rooms, and field needs (e.g., safety gear for masonry teams). - Manage contract administration, including maintaining files, and ensuring all documentation for masonry restoration projects is up-to-date. - Handle financial tasks such as processing invoices, - Support recruitment, training, and management of administrative and field personnel. - Ensure compliance with local authorities, such as obtaining permits for masonry projects. - Handle administrative tasks such as filing, data entry, word processing, and preparing documents like receipts and lien releases. - Maintain employee files, certifications, licenses, PTO, and attendance records - Monitor missed calls, emails, and messages; - Collect project photos and documentation for records from field crews - Order boom lifts, canopies, and required equipment - Respond to clients throughout project progress - Notify clients about delays, updates, or change orders - Work closely with CEO to create strategic growth plans and KPI goals - Develop improved solutions to meet customer needs - Coordinate production of business cards, yard signs, uniforms, merchandise Qualifications - Minimum of 3-7 years of experience in an office management or administrative role within construction, preferably in masonry, restoration, or a related field. - Excellent communication and interpersonal skills to interact with CEO, office staff, clients, and field teams. - Bi-lingual: Polish and/or Spanish is a plus for coordinating with diverse crews. - Valid driver’s license (site visits when needed) Compensation $55,000–$65,000 Based on experience + performance-based growth opportunities To take the next step in our process, please send your resume along with a cover letter explaining what you like about this opportunity to: office@jagramasonry.com Visit our website: Jagramasonry.com Pay: $55,000.00 - $65,000.00 per year Work Location: In person
